Alnylam is seeking a Manager, Meetings Management to provide meeting planning and strong project management on the US Meetings Management team reporting the to the Associate Director, Meetings Management within the US Commerical Organization.
In this highly visible and essential role, the ideal candidate will have strong project management and communication skills, demonstrate a high level of initiative, self-motivation, forward thinking, and creativity to adjust to the evolving priorities of the business.
They will assist in the operational strategy and development of meetings and congresses in collaboration with our key stakeholders to ensure alignment with operational processes and business strategies.
They will plan and execute a multitude of complex face-to-face (F2F) and virtual meetings, as well as oversee supplier (MMC, Production, Booth) execution.
These meetings include, but are not limited to, congresses (symposium, product theater, booth oversight, ancillary meetings, etc.
advisory boards (US and global / virtual and in-person), and internal meetings. This person must be willing to work a flexible schedule including travel up to 30% in the US (OUS is rare, but could take place).
Key Responsibilities
- Define overall meeting objectives with stakeholders and cross-functional planning teams that will drive planning.
- Communicate functional best practices and supporting strategic measures to guide stakeholders and cross functional planning teams in executing project plans for meetings, events, and congresses.
- Lead planning team meetings and hold members accountable to project roles and responsibilities which drive operational timelines and deliverables.
- Develop and manage complex meeting and congress budgets and ensure compliance with corporate and departmental financial policies.
- Collaborate with legal, compliance, regulatory and medical / commercial program lead(s) to develop and maintain processes to ensure all meetings and congresses are compliant. This includes :
- Tracking processes for legal documents to ensure CDAs or Consulting Agreements are in place with each attendee prior to the start date of any meeting or event where such a need applies
- Facilitating and managing all meeting and congress documents
- Managing advisor consent and following local, regional, and country rules and regulations as it pertains to their attendance at meetings
- Ensure content & process approval is obtained where applicable through Alnylam Review Board.
- Project manage and oversee all aspects of meeting and congress execution including but not limited to : hotel and venue sourcing, negotiations, budgeting, compliance adherence, transfer of value reporting, speaker management and contracting, booth oversight (booth staff, collateral, promotional items, lead generation, etc.
symposia, product theater, food & beverage, technology tools, audio visual, and on-site execution.
- Build and maintain relationships with internal business partners such as Marketing, Training, Medical, Finance, Travel, Legal, Compliance, Regulatory, Corporate Communications, as well as external vendor partners.
- Assist in the updating and / or creation of department SOPs and support functional process improvement initiatives.
- Assist with administrative elements : managing purchase requisition entries, change orders, sponsorship submissions
Qualifications
- Bachelor's Degree required.
- 5+ years Biotech / pharmaceutical meetings management experience preferred.
- Hands on experience with meeting management tools and technology. Cvent Event Management System required.
- Strong verbal and written communication skills.
- Exceptional organizational skills.
- Provides a high-level of professionalism and level of service .
- Strong project management skills, strategic planning, and problem-solving abilities, with a keen eye for detail and innovation.
- Proven ability to foster collaboration and achieve goals in a fast-paced environment.
- Adhere to all deadlines, turnaround timelines, and compliance requirements.
- Ability to travel and provide onsite support for meetings, events, and congresses, both local to Cambridge and / or within the US / OUS.
- Comfortable with direct interface with high-level executives, functional leaders, and healthcare professionals.
- Highly versed with sunshine act reporting and pharmaceutical industry hospitality guidelines for Healthcare Professionals (HCPs).
