The Assistant Registrar for Registration provides leadership and supervision to Records Specialists, who provide front-facing services to students, alumni, faculty and others via email, phone, and in-person.

The Assistant Registrar for Registrations is responsible for the staff and systems that support registration-related systems and processes, communications, as well as certification of veterans and military-affiliated students.

As a member of the Registrar’s leadership team, the Assistant Registrar for Registration advises the University Registrar on procedures in their area of responsibility, making recommendations and providing assessment of impact.

This position also helps to establish a positive working environment and relationships with other departments across the campus in order to ensure a smooth flow of information between the Office of the Registrar and other departments.

These relationships also contribute to ensuring that there is compliance with the Family Educational Rights and Privacy Act (FERPA)

Position Specific Responsibilities / Accountabilities

  • Coordinate and support staff in providing student facing services to ensure that all service provided to students is high quality and timely.
  • Oversee the schedule of registration communications, including deadlines throughout the semester, ensuring communications are accurate, timely and distributed to the appropriate populations.
  • Ensure Registrar’s website is accurately updated in a timely fashion to display current dates, deadlines, academic policies and, other student record related information.
  • Actively partner with ITS to redesign workflow processes more efficiently, and to create and maintain documentation of changes.
  • Oversee the creation and maintenance of standard operating procedures related to registration processing tasks.
  • Set-up registration and perform end of term processing tasks.
  • Submit Enrollment and Degree Verify reports to the National Student Clearinghouse, monthly.
  • Ensure students records as needed, including grade changes, course withdrawals, leave of absences, internships, special studies, unit overloads, time conflicts and other academic and registration related record-keeping functions.
  • Provide leadership and supervision to staff in a manner that promotes professional growth, good work ethics and supportive of the mission and values of LMU.
  • Serve as the School Certifying Official with extensive knowledge of VA programs, regulations, and policies.
  • Coordinate, maintain and respond to all departmental inquiries related to educational benefit processing and military funding.
  • Serve as the first point of contact for all veterans, service members, spouses, dependents and their families by providing additional support, customer service and best practices.
  • Provide comprehensive information, resolve challenges, and ensure compliance with federal, state, and university requirements.
  • Perform other related duties.

Requisite Qualifications

  • Typically a bachelor’s degree or equivalent experience. A master’s degree is preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation / policy changes.
  • Two years of experience in a Registrar’s Office in higher education.
  • Two years of supervisory experience preferred.
  • Ability to creatively and logically solve problems and multi-task effectively.
  • Excellent written and verbal communication skills.
  • Ability to interact and partner with all levels of personnel and diverse populations and demonstrate tact and sensitivity Exceptional attention to detail and accuracy.
  • Strong analytical skills.
  • Proficiency with technology.
  • Strong organizational skills with the ability to simultaneously manage multiple projects in a fast-paced environment while consistently meeting deadlines.
  • Demonstrated ability to coordinate workflow management, carry out assignments without detailed instructions, train and explain policies and procedures, establish quality control guidelines.
  • Demonstrated knowledge of academic policies.
  • Ability to use knowledge to resolve issues and respond to complex requests.
  • Experience researching academic information to determine applicable rules and regulations, preferred.
  • Strongly ability to work effectively with supervisors, subordinates, peers, faculty, administrators and staff.
  • Ability to follow all university policies, procedures, and guidelines including, but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student, and assist in achieving the university’s mission.
  • Other duties as assigned.
