SUMMARY : Provides secretarial support for the Office of Academic Affairs.
PRINCIPLE DUTIES AND RESPONSIBILITIES :
- In conjunction with all other personnel, support and advance the vision and mission of the University.
- Coordinate all tours for university sponsored Tour of the Body.
- Coordinate all employee / work study schedules for Tour of the Body.
- Ensure student and other worker coordination for Tour of the body, including payroll.
- Create work orders, submit documentation for payroll, assist with travel, submit reimbursement requests, take minutes, prepare agenda and other secretarial duties for the Associate Provost of Academic Affairs.
- Greet students, faculty and staff visiting or calling the Office of Academic Affairs.
- Secure and maintain an inventory of standard office supplies, and requisition other materials as requested.
- Coordinate meeting spaces through EMS, and catering as assigned.
- Assist in management of the Anatomical Gift program.
- Participate in, plan and schedule appropriate college and university ceremonies, programs, task forces, committees, accreditation and program development activities, etc.
- Assist with president, dean’s and award list, distribution, preparation and scheduling of celebrations.
- Prepare and maintain reports on Academic Affairs activities as assigned.
- Develop and assemble a variety of correspondence as assigned.
- Data entry as assigned.
- Assist in management of the Tour of the Body program.
- Other duties as assigned.

An Associate or Bachelor’s degree is preferred, as is four to five years related experience and / or training or an equivalent combination of education and experience.
The individual must have the ability to read and interpret documents such as operating and maintenance instructions and procedure manuals, and the ability to prepare routine reports and correspondence.
Basic math skills are required. The individual must have common sense understanding, be able to carry out instructions furnished in written, oral, or diagram form, and the ability to deal with and solve problems.
Experience in recording, transcription, filing, and general office duties is required.
Computer Skills : Competency with MS Office Suite.
Certificates, Licenses and Registrations : N / A
Other Skills : Minute-taking skills.
Other Qualifications : Must be able to work overtime occasionally, including evenings and weekends.
