Job Summary :
The Receptionist / Legal Secretary will be a key point of contact for clients and visitors, providing outstanding front-line support while managing a variety of administrative and legal tasks.
This role combines traditional receptionist duties with legal secretary responsibilities, including data entry, conflict checks, and report generation.
The ideal candidate will have 3-5 years of experience in a similar role, demonstrating a strong understanding of legal procedures and excellent organizational skills.
Key Responsibilities :
Receptionist Duties :
- Greet clients, visitors, and staff with professionalism and courtesy.
- Answer and manage phone calls, directing them to appropriate personnel.
- Schedule and coordinate appointments, meetings, and conference rooms.
- Handle mail and deliveries, ensuring timely distribution and processing.
Legal Secretary Responsibilities :
- Perform data entry tasks with attention to detail and accuracy.
- Conduct conflict checks to identify potential conflicts of interest.
- Run and prepare reports as requested by attorneys or management.
Administrative Support :
- Maintain and organize client files and records, both physical and electronic.
- Coordinate with various departments to ensure smooth office operations.
- Assist with billing and timekeeping as needed.
- Manage office supplies and inventory, placing orders when necessary.
Qualifications :
- 3-5 years of experience in a legal administrative or receptionist role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal management software.
- Strong understanding of legal terminology and procedures.
- Excellent organizational and multitasking skills.
- Exceptional communication and interpersonal abilities.
- Ability to handle sensitive information with discretion and confidentiality.
- High attention to detail and accuracy in data entry and report preparation.
