Our Communications team is composed of PR / Media Relations, Events, Design, and other external-facing functions. The team’s ethos is to support OpenAI's mission and goals by clearly and authentically explaining our technology, values, and approach to safely building powerful AI.

The Events team is a dynamic and ethos-driven group dedicated to crafting one-of-a-kind and extraordinary experiences that encompass OpenAI’s values and mission.

About the Role

We are seeking an energetic and highly organized Operations Manager focused on Events to join our dynamic team at OpenAI.

In this exciting new role, you’ll play a key part in shaping our events programs by implementing and fine-tuning strategies that boost efficiency and consistency as we scale our events globally.

Your focus will be on ensuring smooth communication across the organization and making sure all teams are well-represented throughout every phase of project management.

The ideal candidate is a strategic thinker with a deep passion for artificial intelligence and a proven track record in events management, operations, or administrative support.

This role is based in San Francisco, CA. We use a hybrid work model of 3 days in the office per week and offer relocation assistance to new employees.

Regular business travel may be required for this role.

In this role, you will :

Enhance and streamline the operational blueprint for OpenAI’s events, ensuring seamless cross-functional execution and high standards across the board.

Build and maintain a comprehensive database of key vendors, contractors, and contacts, fostering strong relationships and reliable partnerships.

Collaborate with Events leadership and Marketing, Sales, and Recruiting to establish and track KPIs, ensure consistent measurement and reporting, and standardize lead tracking processes.

Work alongside Executive Business Partners to standardize communication with Executives and their support teams, ensuring clarity in schedule oversight, and consistency across programs.

Manage partnerships with Procurement, Legal, and Finance to streamline support and keep projects on track during tight timelines.

Establish spending standards for OpenAI events to guide future projects.

Develop and maintain standard operating procedures and an Event Styleguide in partnership with Production, Technical Production, and Design teams.

Oversee logistics, including shipping, international freight, customs, warehousing, and inventory, and swag production.

Have 7+ years of experience in project management, operations, administrative support, or similar roles.

Experience working across multiple events and finds excitement and energy in fast-paced environments.

Demonstrate strong cross-functional team management experience, with a deep commitment to fostering open communication, bringing your true self to work every day, and embracing a diversity of backgrounds and perspectives.
