Overview
The Institute for Defense Analyses (IDA) is a Federally-Funded Research and Development Center supporting the Department of Defense (DoD) and other federal agencies.
IDA has an immediate opening for a Travel Coordinator. There is one vacancy for a Travel Coordinator, but IDA is accepting applications for all three center locations at Bowie, MD, Princeton, NJ and La Jolla, CA.
Under Minimal supervision, this position helps coordinate domestic and global business travels for staff and visitors across three geographically separate locations in California (CCR-L), Maryland (CCS), and New Jersey (CCR-P).
The coordinator works closely with IDA’s Travel Office and books all air and land travel as well as hotel reservations on Concur Travel system;
searches, gathers and provides relevant travel information on official business travels in accordance with the Joint Travel Regulations (JTR).

While it is not typical for an individual to be hired at or near the top of the range, a reasonable estimate of the salary range for this role is $53,678 - $85,880.
Individual salary within this range will be commensurate with the incumbent’s experience, unique skills and qualifications, and other relevant factors.
Primary Responsibilities :
- Acts as the point of contact between staff and IDA’s Travel Office when needed.
- Maintains a step-by-step guide from requesting travel to expensing travel in keeping with IDA’s travel practice and policy.
- Searches for the most cost-effective means of travel and hotel accommodations for staff or visitors in Concur or working with IDA’s Travel Office;
ensuring compliance with IDA’s travel practice and policy and the JTR.
- Informs staff on flights availability, connections, and accommodations; works with IDA’s Travel Office and / or books all air and / or surface travel and hotel reservations in Concur.
- Schedules and provides detailed travel itineraries for visitors. Verifies accuracy of tickets, hotel reservations and other details before delivering to staff or visitors.
- Verifies travel agency documents for accuracy and proper billing; researches and resolves discrepancies with travel agency, staff / visitors and / or finance department.
- Ensures travel is expensed to the correct charge code category.
- Provides Concur training and online booking tool to staff and SCAMP participants when necessary to facilitate travel arrangements on their own.
- Provides monthly and quarterly travel reports for each Center; maintains filing system of travel and conference related information and performs other related administrative duties.
- May be required to visit the other Centers periodically.
- Performs other duties as assigned.
Minimum Qualifications / Requirements
- High school diploma or equivalent
- Five or more years administrative experience, including travel coordination preferably with a travel agency and some accounting experience.
- Concur experience is required
- Experience using personal computers and associated software.
- Strong interpersonal skills with the ability to communicate effectively orally and in writing with all levels of employees.
- US citizenship is required
- Ability to obtain and maintain necessary security clearances.
