Greenlight Construction is seeking a detail-oriented Construction Contract Administrator to manage and support all aspects of contract administration for multifamily construction projects.

This role is crucial for ensuring compliance with project requirements and company standards, working closely with leadership to meet project and organizational goals.

Position Overview

The Construction Contract Administrator is responsible for providing administrative support and managing all aspects of contract administration for multifamily construction projects.

This role involves coordinating, reviewing, and overseeing construction contracts to ensure compliance with project requirements, company standards, and regulatory guidelines.

The ideal candidate will have a strong background in construction contract management, excellent organizational skills, and a keen understanding of multifamily construction processes.

  • This position works closely with Greenlight Construction President and other leadership to ensure company goals and objectives are met.

Essential Duties and Responsibilities

Contract Drafting :

Draft, review, and finalize subcontracts, service agreements and purchase orders, ensuring terms are clear, comprehensive, and compliant with company policies and industry regulations.

Ensure contracts are executed timely.

  • Manage the prequalification process for bidders and subcontractors, including gathering necessary documentation, conducting background checks and evaluation financial stability, safety records and past performance to ensure project requirements and company standards are met.
  • Collaborate with company leadership and project managers to ensure contract terms align with project scope, timelines, and budgetary constraints.

Contract and Insurance Management :

  • Maintain a detailed and organized contract and insurance documentation system, ensuring all contracts, amendments, and correspondence are properly filed and accessible.
  • Monitor compliance with contract terms, conditions, and requirements throughout the construction process.
  • Review insurance documents to ensure compliance with contract terms throughout prequalification period, construction process and warranty period.

Communication and Coordination :

  • Serve as the primary point of contact for contract-related matters, liaising between internal departments and external stakeholders.
  • Provide guidance to project teams on contract terms, obligations, and best practices in contract management.

Reporting and Documentation :

  • Prepare and distribute regular reports on contract status, including insurance compliance.
  • Assist in the preparation of project closeout documentation, ensuring all contractual obligations have been fulfilled.

Operations and Administrative Support :

  • Provide administrative support to company leadership, including assistance with safety audits and the implementation of safety policies to ensure compliance with regulatory standards.
  • Coordinate and schedule construction training programs, including safety training and certification courses for construction teams.
  • Support estimating efforts by gathering necessary documentation, assisting with bid preparation, and ensuring the accuracy of contract terms related to project estimates.

Required Skills and Experience :

Associate’s or Bachelor’s degree from an accredited college or university; a minimum of three to five years related construction contract administration experience;

or equivalent combination of education and experience.

  • Strong knowledge of construction contract terms, conditions and industry-standard agreements.
  • Excellent negotiation, communication and interpersonal skills.
  • Proficiency in TradeTapp, Building Connected and Autodesk Build.
  • Strong organizational skills and ability to manage multiple contacts and tasks simultaneously.
  • Detail-oriented with strong understand of construction processes, budgeting and scheduling.

Preferred Skills :

  • Certification as a Certified Professional Contracts Manager (CPCM) is desirable.
  • Knowledge of safety regulations and experience supporting safety programs in a construction environment.
  • Experience working with general contractors, subcontractors and vendors in the multifamily construction sector.
