About This Role :
The Records Registrar & Attendance Coordinator will be responsible for maintaining accurate student records, processing transcripts, and coordinating enrollment documentation.
In addition, this role will take a proactive approach in monitoring and addressing attendance issues across the network’s physical sites, coordinating attendance interventions, and ensuring compliance with attendance policies.
The position will also involve coordination tasks to facilitate smooth operations at the school’s physical sites.
Key Responsibilities :
Student Records & Registration :
- Maintain and update student records in accordance with state and federal regulations (e.g., FERPA compliance).
- Process enrollment and withdrawal requests, including verifying documentation and ensuring timely updates to student databases.
- Manage the transfer of student records between schools, ensuring all credits, transcripts, and special program information are properly recorded.
- Prepare and submit reports related to student records for internal and external audits.
- Respond to requests for records from students, parents, and other educational institutions.
Attendance Monitoring & Interventions :
- Track student attendance at both online and physical school sites, identifying patterns of absenteeism or truancy.
- Coordinate with site-based staff to implement attendance intervention plans, including communication with families and students at risk of chronic absenteeism.
- Ensure compliance with state attendance policies and guidelines, and assist with reporting attendance data to regulatory bodies.
- Work collaboratively with teachers and student services staff to improve attendance rates through individualized student support.
- Schedule and facilitate attendance intervention meetings with students, parents, and relevant staff members.
Site Coordination :
- Act as the primary point of contact for operational issues at physical school sites, ensuring smooth coordination of daily activities, including monitoring visitor access and addressing any facility-related needs.
- Support the organization of events and activities at physical sites, liaising with teachers, staff, and external partners.
- Assist with logistical tasks, such as scheduling student assessments, coordinating on-site technology needs, and ensuring safety protocols are followed.
- Work with the school administration to ensure physical site compliance with Arizona Department of Education standards and safety regulations.
Additional Duties : Perform other duties as assigned, demonstrating flexibility and a proactive approach to meeting the needs of the organization.
Qualifications :
- Associate's or Bachelor’s degree in education, administration, or a related field.
- Experience with student records management systems.
- Strong knowledge of attendance policies and interventions.
- Excellent organizational skills with the ability to manage multiple priorities.
- Valid driver’s license and ability to travel within the state of Arizona to visit physical school sites as needed.
- Strong communication & interpersonal skills, with the ability to interact professionally with staff, students, and families.
- Ability to work both independently and collaboratively within a team.
Preferred Skills :
- Experience working in a charter school environment or with at-risk student populations.
- Bilingual (English / Spanish) preferred.
- Familiarity with Arizona state educational guidelines and regulations.
- Experience with school site operations and event coordination.
