Administrative Assistant / Purchasing and Contracts Manager for Administration and Finance
RESPONSIBILITIES
Serve as principal and confidential assistant to the Vice President of Administration and Finance. Maintains the official files and records of the Administration and Finance Office, including the compilation of monthly financial reports.
Perform administrative support duties. Coordinate meetings including scheduling and developing agendas. Screen, record, and route mail.
- Receives and delivers telephone messages and generally act independently providing information and / or referrals. As Purchasing and Contracts Manager responsible for the development and management of contracts and purchasing materials, supplies, equipment, contraction, consultants or services within specified fields;
- develops and institutes sound purchasing policies for the related field necessary to procure the consults with departments and schools to identify needs and requirements and assists in development of appropriate scope of work;
- obtains competitive bids and enters into negotiations with suppliers as necessary; prepares and executes proper contracts, purchase orders, lease agreements and appropriate documentation;
develops and maintains files; performs other duties assigned.
QUALIFICATIONS
Bachelor's degree required. (MBA preferred) and purchasing experience or equivalent combination of education and experience.
Experience wit automated purchasing systems, database, spreadsheets and word-processing applications essential; experience with the development of agreements, contracts for maintenance repair and operations support preferred.
- Must have the ability to work under pressure and facilitate multiple detailed tasks. Excellent communication and interpersonal skills;
- must exhibit professionalism, integrity and confidentiality. Proficient in Microsoft Office programs. English grammar, spelling and punctuation skills;
office methods, procedures, and practices; ability to communicate orally and in writing required.
