Your Impact :

The Database and Donor Services Specialist plays a foundational role on Humanity for Humanity Greater San Francisco’s Fund Development team.

The Specialist supports the organization’s fundraising efforts.

The Database and Donor Services Specialist plays a leading role in all donor services and development database operations, including gift entry, generating tax receipts and acknowledgments, donor stewardship, creating reports, and supporting research on prospects and fundraising appeals.

We are committed to doubling the number of families we serve in our region over the next four years. To achieve this, we launched a bold $100M comprehensive campaign and we have just $24M left to raise by 2027.

This position is critical to enabling this fundraising.

Reporting to the Vice President of Development, the Specialist will enable the organization’s growth.

Primary Responsibilities :

Salesforce Fundraising Data Management (65%) :

  • Enter all donor-related data into Salesforce, primarily processing donations and ensuring accurate contact information and preferences on donor records.
  • Produce timely, accurate acknowledgement letters for all relevant donations.
  • Build and produce accurate reports for direct mail lists and on donations, budget progress, and donor contact information for mailing lists, emails, and other purposes.
  • Complete wealth screening with timely tracking in Salesforce, supporting Fund Development colleagues in cultivating and stewarding donors in response to screening data.
  • Support monthly reconciliation of donations with Finance Department.
  • Partner with Database Operations team to consistently provide suggestions for improvements to Salesforce database that will enable enhanced donor engagement and tracking.
  • Develop and enforce development data entry guidelines to ensure data quality and consistency; provides support and training in use of the application, including orientation for new staff and specialized training in response to changing roles, improvements in business processes and database functionality.
  • Establish, improve and maintain systems, policies and procedures to ensure the integrity of all biographical and financial data in the fundraising database, including standardized coding, processing, and reporting policies;

evaluates and updates these policies as necessary to ensure best practices.

  • Serve as Fund Development’s expert on other donation platforms such as Greater Giving and FundraiseUp.
  • Produce timely, accurate acknowledgement letters for all relevant donations.

Donor Services (30%) :

  • Partner with Fund Development colleagues to complete donor research and creating donor prospecting briefs.
  • In collaboration with gift officers, identify potential major gift donors by using creative research and mining techniques, largely of HGSF’s fundraising database, and electronic searching methodologies to ensure that org initiatives have sufficient prospects to meet fundraising goals.
  • Support Fund Development donor events and prospects by attending events, helping with RSVP tracking, and logging gifts.
  • Collaborate on donor stewardship activities, such as sending regular print touchpoints throughout the year.

Other Duties as Assigned (5%) :

Perform additional duties as needed.

Minimum Qualifications :

  • At least 1-3 years of experience on or with a fundraising team.
  • Experience with a Donor CRM database, preferably Salesforce, and willingness to learn donation processing and prospecting systems.
  • Strong organizational and prioritization skills.
  • Passion for and commitment to the Habitat for Humanity Greater San Francisco mission.
  • Innovative, creative, strategic and analytical thinker.
  • Clear communication skills, including the ability to write and speak clearly and effectively.
  • Must be able to travel within HGSF’s tri-county service area if needed ( SF, Marin, San Mateo).
  • Must be able to pass background check ( In accordance with state and county law : convictions do not necessarily rule out employment, it depends on the nature and severity of the conviction and is evaluated on a case by case basis, check is conducted on last 7 years only).

Preferred Qualifications :

  • Preferred proficiency in Outlook, Microsoft Word, and Excel.
  • Salesforce.

Work Environment :

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands :

This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and stand or bend as necessary.

Must be able to travel within HGSF’s service area.

Benefits :

Compensation for this role is competitive, DOE. This full-time position offers medical, dental and vision insurance, life insurance, long-term disability, employee assistance program (EAP), Flex Savings Account (FSA), 403b retirement account, commuter benefits, 20 paid vacation days, 3 front loaded sick days (accrue up to 72 hours per year), and 13 paid holidays.
