POSITION : Transportation Assistant

FLSA CLASSIFICATION : Non-exempt

STATUS : Part-time

NORMAL WORKING HOURS / DAYS : M-F, Hours vary

Position Summary Statement :

Reporting to the Transportation Director, the Transportation Assistant will perform complex and routine administrative tasks.

Working closely with the director and maintenance supervisor, you will assist in ensuring the agency’s fleet meet all requirements set forth by the Developmental Disabilities Administration, Motor Vehicle Administration and Enterprise Fleet, and other regulatory agencies;

this position has no direct reports.

Qualifications :

  • Associates degree or certificate in an administrative support field required.
  • A minimum of three years’ experience in an administrative support role.
  • Must be computer literate and have excellent written and oral communication skills.
  • Must have a valid driver’s license with demonstrated clean, safe driving record.
  • Knowledge of WMATA, MDOT regulations and regional transportation resources helpful.
  • Adaptability and flexibility.
  • Aptitude to anticipate problems, critical issues, and opportunities and creatively solve problems to formulate viable solutions.
  • Strong interpersonal skills, with the ability to work with all levels within the agency.
  • Reliable and reports to work on time.
  • Uses time effectively to complete routine paperwork, exercising strong time management skills.

Position Responsibilities :

Assists transportation team with daily dispatch duties- including taking calls for transport services from external customer for special programs.

Ensure that requests are received by the Transportation Supervisor during their shift, scheduling delivery appointments where applicable, assisting in assigning vehicle pick up and drop off for services, assisting in troubleshooting any driver / carrier issues that may come up.

  • Perform administrative functions to include but not limited to, ensuring proper paperwork flow, scanning documents, collecting daily, weekly and monthly documents, coordinating shipping documents, ordering supplies and entering purchase orders.
  • Assist / coordinate in scheduling DOT exams including physicals and drug screens when requested.
  • Attend all staff meetings, ensuring agendas and minutes of the meeting on generated and kept on file.
  • Assist in the coordination of driver coaching sessions and training as required.
  • Assist with monitoring cameras and reporting infractions.
  • Assist with DOT, Azuga, Enterprise, and MWCOG matters.
  • Prepare and submit purchase orders for the transportation department, which include invoices for Enterprise and other vendors.
  • Assist Director to maintain an organized system and calendar of routine inspections for all vehicles. This should be shared with all involved as updated.
  • Ensures timely submission of necessary paperwork, i.e., incident reports, accident reports to Director of Transportation and Human Resources Administrative Specialist.
  • Provide assistance with grant applications, collection of information or data for assignments, collecting statements or conducting interviews for transportation investigations as assigned.
  • Collect monthly mileage logs and gas receipts from residential staff.
  • Assist Director to manage communication system (currently ArcPGTransportation email address) to ensure proper tracking, and timely responses to inquiries on transportation matters.
  • Complete all required training.
  • Performs special projects and other duties, as assigned.

Mental, Physical, and Visual Demands :

While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone;

use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.

Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. Ability to drive is a requirement of the position.

Working Conditions :

Normal office environment. Must be familiar with basic office equipment (e.g. computer, facsimile, copier, postage machines, etc.)
