Position Overview :

A Medical Receptionist is a vital member of a healthcare facility's administrative team. They are responsible for providing exceptional customer service, coordinating patient appointments, managing administrative tasks, and ensuring smooth operations at the front desk.

Medical Receptionists serve as the first point of contact for patients and visitors, creating a positive and welcoming environment.

Key Responsibilities :

  • Greeting and assisting patients : Welcome patients and visitors in a friendly and professional manner. Provide information and directions, answer inquiries, and address any concerns or issues they may have.
  • Scheduling appointments : Coordinate patient appointments by efficiently managing the appointment scheduling system. Schedule and reschedule appointments, ensuring proper documentation and accuracy of patient information.
  • Managing patient records : Maintain patient records in an organized and confidential manner. Collect and update patient information, including personal details, medical history, and insurance information.

Ensure compliance with privacy regulations, such as HIPAA.

Handling phone calls : Manage incoming phone calls, answer inquiries, and direct calls to the appropriate staff members.

Take accurate messages and relay them promptly. Maintain clear and professional communication with patients, healthcare providers, and other staff.

Checking in / out patients : Efficiently handle the check-in and check-out process for patients. Verify patient information, collect necessary paperwork, and process insurance information.

Collect co-payments or fees, and provide receipts as required.

Managing paperwork and administrative tasks : Perform various administrative duties, including filing, scanning, faxing, and organizing documents.

Process medical records requests, referrals, and other necessary paperwork. Assist with data entry and maintain accurate and updated electronic and paper-based records.

Coordinating with healthcare providers and staff : Collaborate with physicians, nurses, and other medical staff to ensure a smooth patient flow.

Communicate relevant information, such as changes in patient appointments or urgent messages, to the appropriate personnel.

Qualifications and Requirements :

  • High school diploma or equivalent (additional training or education in healthcare administration is a plus).
  • Previous experience as a medical receptionist or in a similar administrative role is preferred.
  • Excellent interpersonal and customer service skills.
  • Strong verbal and written communication skills.
  • Proficiency in using computer systems, electronic medical records (EMR), and scheduling software.
  • Knowledge of medical terminology, procedures, and insurance processes.
  • Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
  • Attention to detail and accuracy in record-keeping and data entry.
  • Ability to handle confidential information with professionalism and maintain patient privacy.
  • Strong organizational and time management skills.
  • Professional appearance and demeanor.

Working Conditions :
