The virtual event coordinator / planner is responsible for supporting client-facing webinars and virtual events for practice groups and industries.

This position will work closely with host attorneys, marketing, and business development colleagues, including practice group support teams, creative, web & data base teams, and information technology department.

Candidates must be self-motivated and detail-oriented, tech-savvy, committed to excellence in the workplace, and have outstanding organizational and anticipatory skills.

This position requires the ability to work independently on multiple projects at one time, work well under pressure while managing to deadlines, and have the ability to work overtime when necessary.

RESPONSIBILITIES

Coordinate logistics for marketing and business development webinars, including individual webinars and series.

  • Track and analyze registration and attendance data and distribute to webinar stakeholders
  • Prepare quarterly webinar performance report
  • Maintain calendar of marketing and business development webinars
  • Develop project task lists and timelines for client-facing webinars and the associated planning process
  • Coordinate technical needs for webinars in virtual platform and communicate login, registration, etc. instructions to all stakeholders
  • Conduct test runs and trainings in virtual platform for speakers and colleagues as required
  • Assist business development colleagues with creation of pre-and-post emails and invitation lists in association with webinars as needed
  • Organize around webinar series, including tracking,
  • Run webinar day-of, which may include advancing slides, polling, fielding questions from participants, etc.
  • Coordinate CLE applications and submissions for webinars
  • When necessary, assist with the reserving of conference rooms, equipment, etc. in offices
  • Develops scripts and act as host for webinars when necessary
  • Liaises with technical support teams on technical issues
  • Ensure all webinar recordings are saved to the firm system of record
  • Fields and summarizes post-event surveys as appropriate
  • Follows up after events to obtain and document event feedback from the applicable departments or practice groups and from event attendees to help measure ROI on participation
  • Performs other related duties as assigned

REQUIREMENTS

  • Bachelor's Degree (in a related marketing discipline) from a four-year college or university; and
  • A minimum of three years of related work experience (training coordination, event planning, project coordination / management etc.

in a corporate environment, or equivalent combination of education and experience.

  • Demonstrated ability to prioritize and balance competing demands and meet deadlines in a fast-paced professional environment.
  • Experience with Webex required
  • Experience with On24, Zoom and Microsoft Teams preferred
  • Law firm or other professional services firm experience preferred
  • Must be proficient in the use of PowerPoint, Word, Excel, and database applications.
