About the Real Estate & Facilities (REF) Department

The REF department manages and optimizes a portfolio distributed across multiple sites and delivers day to day services to ensure an excellent workplace environment for all Bridgewater associates, clients and guests.

It is responsible to achieve sustainable excellence at this by delivering systemized planning, services and outcomes, even as the requirements of the business change over time.

Services are delivered using a combination of subject matter experts with significant external experience, as well as general management resources with significant exposure and rotation throughout Bridgewater.

About the Role

Event planners will guide customers through all elements in the event coordination process in accordance with the visions and strategies established by the lookout management team.

They will provide excellent, prompt, and authentic service to high impact clients. This individual will also be the main connection point between customers, management, and the onsite execution teams to ensure events meet the customer vision and goals in a branded way.

They should be creative, personable, and collaborative.

You will drive the following responsibilities :

  • Event production for wide range of corporate & social events both on and off property
  • Full understanding of service offerings and brand standards as set by the sales strategy team
  • Manage all event aspects including (but not limited to) : proposals and contracts, floorplans, rentals, dcor, menu, etc.
  • Act as primary point of contact for customers and event RPs during planning, day of event, and event close
  • Act as a liaison between execution teams, vendor partners, stakeholders, and management
  • Process all deposits and payments; working with management & execution team to maintain all event financials.
  • Work with clients to identify their needs and ensure customer satisfaction
  • Organize facilities and details such as decor, catering, entertainment, transportation, invite list, equipment, promotional material and post-event evaluations
  • Oversee planning and production of all aspects of events including vendor procurement and management, contract negotiations, staffing, data and rsvp management, planning timeline, floorplans, rentals, dcor, menu, etc.
  • Create cost savings by identifying new vendors and negotiating with current company vendors
  • Manage property event calendar and intake process in partnership with sales manager & concierge team
  • Partner with onsite property management teams to ensure all facets of property maintain brand standards prior to and during events

We are looking for candidates with the following minimum qualifications :

  • Must have and maintain a professional interest in hospitality and events.
  • Must possess good verbal and written communication skills.
  • Required to work a flexible schedule based on business needs.
  • Excellent ability to set priorities, plan long-term and manage multiple projects simultaneously.
  • Must be detail oriented with a methodical approach to work.
  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
  • Intermediate skills with Microsoft Office Suite products.
