Our AZ location (Phoenix, West Valley Area) is currently seeking an Administrative Assistant to represent the company in a positive and professional manner and help maintain and support basic facility operations.
Duties and Responsibilities :
- Maintain and ensure the professional presentation of the lobby and front office.
- Direct incoming phone calls to the appropriate parties.
- Process and route incoming and outgoing mail.
- Ensure that all visitors sign-in and follow visitor safety policies.
- Issue, adjust, and receive POs as necessary.
- Process completed sales orders.
- Create physical job folders and maintain filing system.
- Maintain office supply inventory, order supplies as necessary.
- Order miscellaneous shop supplies as directed.
- Perform credit card coding for management.
- Assist with inventory counts and adjustments as necessary.
- Place lunch orders as directed, and pickup lunches if required.
- Assist with meeting coordination and scheduling.
- Assist with internal job order issuing and adjustments as necessary.
Qualifications :
- A college degree or experience in a similar positon.
- Strong computer skills, experience with Microsoft Office programs such as Excel and Word.
- Bilingual (Spanish / English) preferred.
- Outgoing with a positive attitude.
- Strong verbal and written communication skills.
- Strong desire to learn.
- Strong problem-solving skills.
- Ability to work in a fast-paced environment.
- Ability to multitask.
Office environment with a typical work day from 7 : 00 am to 3 : 30 pm Monday Friday (hours include 1 half hour lunch break).
