DESCRIPTION
AP / AR Staff Accountant Job Purpose :
The AP / AR Accountant is fundamental to the accounting function within the organization. Responsibilities include but are not limited to receiving, processing, and verifying vendor invoices, tracking and matching PO’s to invoices, and processing vendor payments as well as monitoring bank activity to ensure proper application of customer payments within the ERP, following up on past due balances and coordinating dispute resolution.
Duties
The AP / AR Accountant is responsible for managing customer and vendor relationships as it relates to the flow of funds.
- Match incoming vendor invoices with purchase orders in the ERP
- Resolve any PO discrepancy with the Purchasing Associate
- Code and enter AP invoices (non-PO related)
- Review expense reports for proper coding
- Monitor recurring expenses to ensure timely payment
- Process ACH / Wire transactions within the banking software
- Review and maintain the AP & AR Agings in the ERP for accuracy
- Process vendor payments weekly
- Issues stop payments on initial payments needing to be reissued
- Record customer payments received daily
- Follow up on past due customer accounts
- Reconciliation of vendor / customer statements as needed
- Protect organization’s value by keeping information confidential
Secondary Duties
They must preserve the integrity of the company’s financial information by entering and maintaining accurate information within the accounting system.
Additionally, fostering relationships with vendors, customers, and team members is necessary to ensure all parties are getting the information they need to do their jobs.
As this person gains confidence with the basic job tasks, we want to be able continue to grow the skillset and move into higher level accounting tasks that will bring value to the organization and the individual.
