Veterinary Medical Receptionist (CSR)

Our busy veterinary emergency hospital is seeking a highly organized and experienced receptionist to join our team. The ideal candidate should have previous experience working in a medical office setting and must be able to thrive in a fast-paced, high-pressure environment.
The successful candidate will play a vital role in ensuring the smooth operation of our hospital by efficiently managing client inquiries and facilitating communication between our medical staff and clients.
Essential Functions and Responsibilities :
- Greet clients and their pets with a warm and welcoming demeanor, ensuring their comfort and satisfaction throughout their visit
- Manage incoming phone calls and inquiries in a professional and courteous manner, providing accurate information and scheduling appointments as needed
- Process client payments and maintain accurate financial records, including billing, invoicing, and insurance claims
- Schedule appointments, record keeping and organization, provide estimates and invoices for payment
- Coordinate patient intake and discharge, ensuring proper documentation and communication with medical staff and clients
- Maintain accurate medical records using our hospital's electronic medical records system
- Facilitate communication between clients and medical staff, ensuring timely response to inquiries and relaying important information to the appropriate parties
- Maintain a clean and organized reception area, ensuring all necessary supplies are stocked and readily available
- Ability to work collaboratively and effectively with different departments within the hospital, including medical staff, technicians, and other administrative staff
Qualifications :
- 1-3 years' experience in the veterinary hospital is preferred (technician, liaison, customer service) but position is open to the right person who is eager to learn
- Professional, pleasant, engaged, clear communicator who is attentive and respectful to referring veterinarians, clients, and co-workers.
- Must be able to balance multiple tasks, be confident, and prioritize tasks appropriately.
- Computer experience (Word, Excel) and operation of office equipment such as, fax machine, copy machine, credit card and check terminal, and postage meter.
- Related veterinary software and Care Credit knowledge preferred.
- Must possess basic math skills to determine proper deposits and process payments
- Willingness to learn veterinary technical skills a plus
- Schedule requires regular weekends, some holidays and evenings
