Position Summary
This is an exciting opportunity to work with a dynamic team or scientists and engineers, focusing on fundamental research and product development activities within the San Diego based site of SomaLogic.
The role encompasses performing a broad range of Office Management tasks as well as supporting the leadership team of the San Diego site as an Executive Assistant.
This person will report directly to the Vice President of Technology Development and will support the entire team of the San Diego branch, as well as visiting staff spanning multiple skillsets (administrative, executive assistant, purchasing, HR, and IT) bridging across branches and departments.
This role is a part time, hourly role.
Key Job Responsibilities :
- Represent the company with professionalism, poise and positivity to all points of contacts internal and external.
- Serve as a central member of the team, being a first order point of contact for day-to-day operational activities within the San Diego site.
- Coordinate day to day activities such as maintaining general site maintenance, keeping the site kitchen stocked with food and beverages for the team and coordinating periodic team lunches.
- Serve as primary point of contact for building and campus facilities management teams. Source and manage relationships with contractors and vendors to ensure facility operates efficiently.
- Establish and maintain office systems, processes, and services. Manage office supply requisitions.
- Provide support to executive team, including expense reports, managing schedules, coordinating meetings and travel as needed.
- Act as the primary point of contact to aid and perform tasks across teams, departments and branch locations. Coordinate visits for both SomaLogic and external visitors including vendors and clients.
- Collaborate with lab management to efficiently receive and itemize deliveries using enterprise software solutions to ensure timely accounting records.
- Work closely with HR, recruiters, hiring managers, executives, and peers to coordinate all aspects of hiring spanning from candidate visits to debrief meetings (travel / hotel, multiple internal interview scheduling,) to ensure a productive hiring experience.
- Organize all details of company events ranging from team-building exercise days, VIP visits, catering for meetings and team lunches, as well as holiday parties.
- Create and foster productive, positive work environment to reflect company culture priorities.
Skills & Requirements
Qualifications :
- Prior experience with office management and supply chain / procurement is required.
- Excellent communication and interpersonal skills.
Education :
Bachelor’s degree is preferred but not required
Knowledge, Skills and Experience :
- 5+ years of experience as an office manager and / or an executive administrative assistant
- Demonstrated success in establishing processes and delivering on projects.
- Highly collaborative team player who is comfortable working in a dynamic, extremely technical work environment.
- Solution-focused and pro-active with strong communication skills.
Work Environment :
- Work is in typical office environment.
- Extended keyboarding time may be required.
- Must be able to lift 25 lbs on a regular basis.
- Must be a licensed driver with access to a car to perform errands.
