We are seeking an experienced Event Project Manager to organize and coordinate participation in women-focused events. The goal is to maximize visibility and engagement at these events, fostering connections and promoting initiatives related to diversity and inclusion.
Responsibilities
1. Planning and Coordination
- Develop a detailed participation plan and timeline tailored to each event, including goals, objectives, speakerships, activations, and participant overview.
- Coordinate planning calls, take notes, and ensure action items are followed up.
- Collaborate with the Events Manager and Operations on the event budget to ensure cost-effectiveness.
- Obtain necessary approvals for company-related activities (PR, Corporate Identity, etc.).
2. Marketing and Promotion
- Develop and execute a marketing plan to promote participation.
- Coordinate with the marketing team for promotional materials and campaigns specific to each conference.
- Manage event-specific registration and attendee communications.
3. Logistics and Operations
- Arrange transportation and accommodation for speakers and VIPs.
- Coordinate the schedule and activities for the team during the conference.
- Ensure the availability of necessary materials and equipment.
4. On-site Management (Remotely)
- Partner with key personnel to ensure staff and volunteers are well-informed and prepared.
- Remotely address and resolve any issues or emergencies during the conference and maintain communication via Slack.
5. Post-event Activities
- Conduct a post-event evaluation and debrief with the planning team, collecting feedback.
- Ensure all outstanding payments and follow-ups are completed promptly.
- Deliver a final report on the event, including an overview, activation ROI, metrics, budget actuals, and participant survey results.

This role requires a proactive individual with strong organizational skills and the ability to manage multiple tasks efficiently.
The target hiring compensation range for this role is $68 to $74 / HR. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
