Job Description :

We are seeking a detail-oriented and proactive Administrative Coordinator to support our dynamic team. This role involves a variety of tasks essential to maintaining smooth operations within our department.

The ideal candidate will possess strong organizational skills, the ability to manage multiple responsibilities simultaneously, and excellent communication skills.

Key Responsibilities :

  • Settlement Processing : Handle daily settlement of driver routes in the SAP settlement system, including processing and depositing customer payments collected by drivers through the banking system.
  • Communication Management : Monitor and respond to emails and phone calls proactively. Coordinate and resolve issues as they arise, ensuring effective communication with all relevant parties.
  • File Management : Organize and maintain departmental files, both electronic and hard copy, ensuring easy retrieval and accurate record-keeping.
  • Cross-Functional Interaction : Engage with all functional teams daily to coordinate activities and address operational needs.
  • Coupon Management : Track and distribute coupons, ensuring timely and accurate delivery to relevant parties.
  • Donation Processing : Manage and schedule donations for the location, ensuring proper documentation and coordination.
  • Uniform Management : Order and track uniforms for all frontline employees, ensuring timely distribution and inventory management.
  • Equipment Management : Order new iPhones / iPads and handle equipment repairs. Ensure all equipment is maintained and operational.
  • R&R Processing : Handle client direct response and recovery of customer inquiries, ensuring efficient and effective resolution.
  • Club Scheduling : Schedule appointment dock times for club store deliveries, coordinating with delivery teams and ensuring optimal scheduling.
  • Onboarding Support : Assist with the onboarding process for new hire frontline employees, facilitating smooth integration into the team.
  • Administrative Duties : Perform various common administrative duties as needed to support the department, including filing, data entry, and general office tasks.

Qualifications :

  • Proven experience in an administrative or coordination role.
  • Proficiency in using SAP and other relevant software.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and manage time effectively.
  • Familiarity with standard office equipment and software applications.
  • Capable of working independently and as part of a team.

Education and Experience :

  • High school diploma or equivalent; Associate's degree or higher preferred.
  • Previous experience in administrative support or a related field is advantageous.

Working Conditions :

  • Office-based environment with occasional requirements to handle tasks in other locations as needed.
