POSITION PURPOSE
The Sales and Marketing Administrator (Proposal Coordinator) is responsible for a variety of sales and marketing functions within the Sales and Marketing Department with a focus on the statement of qualifications and proposal process.
This person is responsible as the primary or backup administrator for Salesforce.com, our customer relationship management system.
Duties may include digital sales lead pursuit, capture and communicating with business development managers to identify qualified digital sales leads, and ongoing monitoring and reporting of lead conversions to the funnel and leads reporting.
Project initiatives may include a wide variety of analytics, research, competitive intelligence gathering and reporting as assigned.
This is an in the office Monday - Friday position.
Target pay range is $60,000 - $75,000. (Depending on experience and skills)
DUTIES, TASKS AND RESPONSIBILITIES
Coordination
This role coordinates the National Association of Energy Services Companies (NAESCO) re-accreditation process every three years.
This person will serve as either the primary or backup organization’s facilitator (with engineering, performance assurance, or other team members) to assure the re-accreditation application is complete and submitted in a timely manner to secure re-accreditation.
Analysis and Administration
Provides primary marketing coordination and support for Request for Qualifications (RFQ) and Request for Proposal (RFP) for new and existing markets, including monitoring and maintaining the proposal pipeline report.
Ability to meet public bid deadlines is essential to this role.
- Administers Salesforce.com : Sales / Ops meeting preparation support, Strategic Selling integration, project bonus tracking, application enhancements, contract licensing administration, digital qualified sales lead tracking and any other assigned research and reporting projects.
- Maintains the Customer List by updating the document when a job is booked to include the project scope, volume, and customer contact.
- Initiates and supports Marketing campaign administration through HubSpot marketing automation, including campaign planning, paid media, analysis, insight, reporting, contact list administration, and sales content reporting on demand and monthly prior to Sales / Ops.
- Actively monitors a variety of web analytics packages, including Leadfeeder web analytics to provide insights and monitor web traffic trends and daily reporting of potential sales leads to business development managers.
- Actively monitors Newstracker daily news services by reading daily news, checking Salesforce for funnel and BDM assignment, and forwarding relevant news story summaries to BDMs / GMs.
Research
- Conducts competitive intelligence research, analysis and reporting as assigned.
- Conducts research to investigate potential project funding incentives, such as federal / state grants and incentives. This includes working directly with the BDM on project-specific incentives.
- Ad hoc research as assigned to support sales and marketing objectives.
MINIMUM QUALIFICATIONS
Education / Experience
- Possess a bachelor’s degree in business, marketing, liberal arts or a related field.
- 5+ years of experience completing RFQs & RFPs, preferably for AEC industry.
- Ability to multi-task and work independently and within a team environment.
- Excellent customer service and interpersonal skills.
- Strong analytical, organization, and time-management skills.
- Strong initiative and attention to detail with a high degree of accuracy required.
- Proficient in Salesforce.com and Microsoft Office, including Word, Excel and PowerPoint.
