The Administrative Assistant provides administrative support service to designated and respective Deans / Department Heads / Directors and equivalent level positions through assisting a department or group of professionals and requires the ability to exercise independent judgment and employ basic reasoning skills.
The Administrative Assistant I report to a designated Dean / Department Head / Director with dotted-line supervisory oversight to other assigned supervisors, this designee will complete annual / probationary evaluations.
Through the coordination of the appropriate supervisor, all Administrative Assistants at all levels within Burrell College are required to support each other’s workload during periods of high demand and to address institutional priorities.
Administrative Assistants cross-train others on processes, systems, and policies within their domain and ask for assistance when appropriate as a member of the collaborative team.
Such cross-departmental or division support, when required, will also be communicated, and coordinated between each respective supervisor.
This position is Non-Exempt. Vacancies for Administrative Assistant will be filled at this level with consideration on prior experience / education for starting at higher than minimum starting salary in salary setting.
This position reports to the Assistant Vice President of Student Affairs. The starting salary for this position is $35,000 depending on experience.
Essential Duties and Responsibilities : Attend required assigned departments and assigned committee meetings, assist with preparing agenda, and take minutes as necessary.
Administrative Assistant I may support and back up other AA staff on 1 -2 small committees depending on assignment and availability of other AA staff.
Work with designated supervisors to maintain departmental budgets to ensure proposed expenditures are within budget prior to expense, work with finance on budget revisions and maintain faculty CME funds.
Provide administrative support, tasks include, but not limited to; answer telephones; serve as the initial point of contact for the department;
provide information and direction to students, faculty / staff, and visitors; and resolve a range of administrative problems and inquiries.
Schedule and coordinate meetings, special events, interviews, appointments, and travel arrangements for faculty / staff as requested.
Serve as a liaison with other departments. Assist other personnel with generating student rosters, check-in / out students, follow ups with students as requested.
Compose correspondence, prepare agendas, itineraries, presentations, and a variety of departmental reports. Process purchase requisitions and reimbursements for assigned departments and assist other departments as requested.
Maintain departmental office supplies inventory and order supplies as needed to ensure adequate supply. Distribute mail.
Demonstrate a solid working knowledge of office equipment operations and ensure the equipment is maintained and in good working order.
Perform other related duties as assigned. Other skills important to this position : Attention to detail. Good communication skills, written and oral to communicate effectively to members of the college and be able to communicate workloads and time constraints to multiple stakeholders.
Ability to multitask in a fast-paced environment. Demonstrate good customer service skills, and email / phone etiquette.
Ability to maintain the confidentiality of information and data. Strong organizational and planning skills that reflect the ability to prioritize competing demands, and complete action items efficiently with minimal supervision.
Ability to interact with individuals from different cultures and professional backgrounds, and exercise good people skills verbally and written.
Minimum Qualifications and Experience : High School Diploma or GED is required. Two (2) years of experience related to standard duties.
Strong working knowledge of Microsoft Office applications. Basic competency with Adobe Acrobat.
