Job Summary : A Leasing Specialist position is a sales position. A successful Leasing Specialist knows how to determine the needs of a potential resident, address those needs with the right apartment home, and close the sale.
In addition, a Leasing Specialist is a customer service position able to address the concerns of current residents in a friendly and professional manner.
Essential Functions :
Sales Inspects property and apartments, for showing, on a daily basis to ensure cleanliness and market ready condition.
Picks up litter and reports service needs to Service staff.Answers a high volume of telephone calls from current and prospective residents.
Responds promptly, with a positive, helpful and courteous attitude, to all walk-in and telephone prospects.Completes Guest Card information from all resident prospects, sends thank-you notes and performs follow-up.
- Qualifies, determines needs and preferences, professionally presents community and specific apartments while communicating features and benefits.
- Escorts resident prospects to an apartment home and to all amenity areas.
- Correctly completes lease applications, lease paperwork and related addenda.
- Keeps accurate and detailed records of phone and walk-in traffic utilizing approved traffic logs and Guest Cards and accurately enters information into the community’s property management software, and reviews work of other Leasing staff.
- Accepts rents and deposits.
- Assembles move-in packets.
- Assembles leasing packets.
- Schedule new move-ins to minimize rent loss.
- Sets up and maintains mini-models.
- Performs and / or assists with lease application verification and notifies prospectiveresidents of results.
- Assists management in measuring the effectiveness of marketing programs andcompletes periodic market surveys.
- Completes miscellaneous resident communication as needed.
- Provides training to and acts as a resource for Leasing Consultant(s) and / or Leasing Trainee(s).
- Contributes ideas to the Property Manager for improving resident satisfaction.
- Inspects move-outs and vacancies.
- Makes sales calls and performs other outside marketing tasks to generate traffic to the
- Property.
- Conducts all business in accordance with Company policies and procedures, Fair
- Housing Laws, Fair Credit Reporting Act, and all other laws pertaining to apartments.
- Customer Service
- Read and / or listen to resident requests / concerns. Document any pertinent information or occurrence in resident’s file.
- Write resident service orders and forward to service staff.
- Follow-up on and solve resident problems quickly, usually within 24 hours, or contact immediate supervisor for assistance.
- Deliver newsletters, invoices, and other correspondence to residents’ apartment homes.
- Schedule corporate apartment and clubhouse rentals. Coordinate, set up, attend and clean up after resident functions as required.
- Receive and acknowledge resident move-out notices and prepare files. Collect early termination fees as necessary.
- Calculate daily rent, prorate charges, late fees and percentages.
- Perform lease renewal duties including telephone follow-up, scheduling visits with renewing residents, tracking lease renewals for rent growth and lease terms.
- Monitor lease expiration dates to avoid large numbers of turnovers during any one month.
- Administrative
- Assume responsibility for decision making in Property Manager’s absence.
- Consistently follow key control system.
- File all service requests in apartment files.
- Maintain garage logs.
- Complete weekly reports in a timely manner.
- Complete daily opening and closing procedures as required.
Education / Experience / Qualifications :
- High School diploma, or equivalent.
- Sales aptitude and strong communication skills.
- Complete Fair housing training within 30 days of employment.
- Knowledge of computer programs.
- Possess organizational skills.
Required Skills / Abilities :
- Proficiency with Microsoft Office Outlook, Excel, Word, and PowerPoint.
- Attention to detail without sacrificing larger objectives.
- Communication (written, verbal, and visual) and interpersonal skills; ability to assemble, motivate, and lead teams to meet objectives
Preferred Skills / Abilities :
Prior customer service and / or sales experience preferred.
Special Demands / Physical Requirements : includes small amounts of lifting, twisting, bending, sitting, standing, keyboarding, driving, noise, indoor / outdoor etc.
Requires sitting or standing at a desk for long periods of time indoors. Eye and hand coordination for viewing of monitor screen and multiple reports along with high volume of keyboard use.
Driving to properties for audits and attending training seminars.
