Job Summary :

The Operations Administrator is responsible for providing the leadership and daily direction for the clinical departments and facility operations of the Elkhart Clinic.

This leader will work collaboratively with physicians and others to make the Elkhart Clinic the best medical group to practice, to receive care, and to work at.

The role ensures the Clinic has the clinical, operational and administrative systems, staff, and processes in place to support Clinic physicians and for the success of daily clinic operations.

In conjunction with Clinic physicians, the Operations Administrator provides direct management and oversight of operations of the physician practices and of the ancillary, facility and I / T support functions of the Elkhart Clinic.

Duties and Responsibilities :

  • Executes on the Clinic’s strategic plan, implementing initiatives achieving desired outcomes and long-range goals.
  • Effectively demonstrates and leads by the mission, vision, and values of Elkhart Clinic.
  • Ensure compliance with rules and guidelines related to all regulatory agencies and accrediting organizations for areas of responsibility.
  • Implements new clinical programs and services as approved by the Clinic Board.
  • Actively participates either individually or as a team member on committees and in special projects.
  • Builds trust with physicians and staff through open communications and consistent actions; seeks opportunities to reward and recognize staff, fosters strong team cohesiveness within areas of responsibility.
  • Creates an environment that yields efficient and effective work processes and optimal physician satisfaction.
  • Clearly defines roles and relationships within the team; cultivating strong working relationships among its members.
  • Provides direct feedback to others; responds to staff issues quickly and directly.
  • Empowers staff to share in decisions that affect their work and recognizes the value of their contributions.
  • Models value-based decision making tied to the Clinic’s mission and vision.
  • Champions and implements a patient-centered focus among all clinical operations.
  • Oversees daily practice operations, growth, and financial performance for Primary Care, Specialty Care, and Ancillary Services including laboratory and imaging.
  • Builds key relationships with all significant contacts including practice physicians, billing, accounting, physician practices support staff, Human Resources, Clinical Leadership, and relevant Department Managers and Supervisors.
  • Guides direct reports to balance the tensions between physician satisfaction, maintaining balanced staffing solutions that optimize overall clinic efficiency, and patient-centered operations.
  • Problem solves and provides creative solutions to physician and practice operational challenges.
  • Remains knowledgeable of and implements best practices evaluating work processes and removing inefficiency and waste to optimize physician throughput and clinic efficiency.
  • Provides timely budget input consistent with the financial plan and executing against the budget achieving financial goals of the Clinic.
  • In conjunction with direct reports, manages resources in a manner that is financially responsible and consistent with the overall goals of the organization.
  • Achieves or exceeds budgeted performance for areas of responsibility.
  • Demonstrates an understanding of relevant applications used in area of responsibility.
  • Oversees the maintenance, management, and optimization of the Clinic’s network, hardware, software and telephone resources.
  • Oversees and provides leadership support for I / T Director and Help Desk function to maximize uptime and system availability.
  • Manages Clinic Facility Management staff supporting building operations including facilities, housekeeping, and security.
  • Ensures planned PM and building repairs and upgrades are implemented on time and cost effectively.
  • Participates in the acquisition of new real estate locations directing feasibility analysis and decision-making teams.
  • With the physician chair of the Clinic’s Marketing Committee, provides the administrative leadership for Elkhart Clinic’s overall marketing strategy and oversees its execution including developing and implementing the Clinic’s advertising and e-strategies and capabilities.
  • With clinic physicians promotes utilization of Clinic resources (providers and services) assuring most clinically appropriate solutions are available and communicated to Clinic patients.
  • Works with HIT staff to further develop digital front door solutions to optimize patient experience and workflows.
  • Ensures practice clinical workflows and EMR functionality are aligned and optimize physician, APRN, and overall Clinic efficiency.
  • Ensures technology solutions to support performance and growth in value-based health care arrangements.
  • Directs the regulated use of confidential and protected health information.
  • Leads the development, implementation, and modification of proactive population health initiatives.
  • Oversees implementation of population health solutions including care management operations, transitional care management, remote physiologic and therapeutic monitoring, chronic care, and annual wellness visits.
  • Convenes and oversees the content and facilitation of monthly Management Forum meeting.
  • Convenes, creates content, and facilitates a regularly cadenced leadership development group of directors and managers.
  • Facilitates a bi-weekly leadership huddle.
  • Other duties as assigned.

Required Skills and Abilities :

  • Established competency in implementing benchmarks and performance measures.
  • Strong analytical skills, problem solving, and critical thinking.
  • Outstanding written, verbal communication and computer skills.
  • Exceptional emotional intelligence and interpersonal skills.

Education and Experience :

  • Advanced healthcare administration or clinical degree required.
  • Ten years hands-on healthcare leadership required in a clinical or physician practice setting.
  • Strong, demonstrated interest and competency in operational aspects of physician practices.
