What will the Accounts Payable Specialist do?

The Accounts Payable Specialist is responsible for communicating with vendors and internal personnel to acquire invoices, packing slips, and other accounts payable transaction documents.

This role involves assisting in the processing of accounts payable documents according to established workflow processes.

What is the Accounts Payable Specialist responsible for?

  • Solicit and receive accounts payable transaction documents, including packing slips, invoices, purchase orders, and other related documents.
  • Obtain necessary approvals for invoice payments.
  • Code invoices accurately for data entry.
  • Enter invoices into accounting software in a timely manner.
  • Maintain organized files for open and paid invoices.
  • Respond to vendor billing inquiries and provide requested billing information promptly.
  • Assist the Accounts Payable Manager with additional tasks as needed.

What knowledge, skills and abilities are required for the Accounts Payable Specialist role?

  • Knowledge of Business Central is a plus.
  • Proficiency in Excel is helpful.
  • Strong analytical and problem-solving skills.
  • Comfortable making decisions independently.
  • Highly organized with strong attention to detail and accuracy.
  • Ability to manage relationships effectively, both internally and externally.
  • Maintain confidentiality at all times.
  • Comfortable working in a high-stress environment; able to stay calm under pressure.
  • Strong interpersonal skills to develop and maintain positive relationships.
  • Excellent communication skills (oral, written, and listening).
  • Team player with a collaborative attitude.
  • Ability to handle a high level of mental effort and strain while performing essential duties.
  • Capable of meeting time constraints and managing interruptions from dispatchers and auto haulers.

While performing the duties of this job, the employee is required to sit / stand for most of his / her job duties. There is the need to frequently walk.

There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his / her job duties.

Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.

Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.

There is a moderate level of grasping, lifting, pushing and / or pulling of objects of less than 25 lbs.
