RESPONSIBILITIES :

  • Executes the tactical activities related to Records Management for purchased materials and ensure the overall compliance, accuracy, and integrity of material documentation to Guidant requirements.
  • Executes the tactical activities related to the Customer Order Traceability process creating and maintaining traceability during work performed on primary assemblies and the various stages of component manufacturing.
  • Quality Liaison to Internal and External customers for record creation, review, and approval per Customer / Contractual requirements.
  • Serve as primary Quality Point of Contact for historical record recall.
  • Consistently and clearly demonstrates creativity and innovation in finding solutions to unusual problems relating to traceability, minimizing lead times regardless of customer’s need date.
  • Interface with Vendors and External Centers of Excellence for Material Traceability compliance.
  • Execute the tactical activities related to First Article Inspection (FAI).
  • Maintain and report metrics of all Quality Request backlogs regularly.

MAIN TASKS :

  • Gather and store factory generated permanent records of shipped equipment (log cards and job packets). Frequency Daily / Weekly
  • Review and store incoming material traceability records for compliance to Engineering specifications. Frequency - Daily / Weekly
  • Generate customer reports including but not limited to Factory Inspection Certificates (all levels of FIC), Certificate of Conformity (COC) and Certificates of Origin (COO) in preparation for shipment.
  • Work directly with Final Inspection, Receiving Inspection and Non-Conformity Area to support personnel with review of physical material markings on parts to material certificates.
  • Support the daily operations resolving vendor and Guidant internal records / documentation issues and discrepancies.
  • Support department initiatives related efficiency improvements.
  • Advise department manager on FAI acceptance of subassemblies or finished products as required.
  • Review Engineering Change Notifications, Quality Notifications, and Vendor Quality scores to drive FAI requirement recommendations.
  • As required, develop FAI record packages, review FAI results and process Quality Info Records actives.
  • Participate in the creation and / or revision of SOPs for documentation management, traceability marking operations and customer reporting.
  • Attend department meetings and collaborations as required.
  • Maintain safe and healthy work environment by following standards and procedures.
  • Maintain job knowledge by participating in educational opportunities as applicable.
  • Mentor coworkers to raise awareness around Material Traceability and Record Retention.

REQUIREMENTS :

  • 2 year technical degree in related field
  • Two or more years’ experience in Records Management and quality record review ensuring conformance to requirements preferred.
  • Specifically mill reports, heat treat reports, and other material traceability reports.
  • SAP knowledge and technical background preferred.
  • Knowledge and experience with API (American Petroleum Institute) and ISO (Industry Standards Organization) standards and other applicable industry standards.
  • Demonstrates strong leadership traits establishing clear requirements and a continuous improvement mindset.
  • Accuracy and attention to detail is critical.
  • Shares opinions, ideas, and resources with others to achieve common goals; fosters teamwork and collaboration, builds trust.
  • Demonstrates proficiency in developing process maps and operating procedures for use in training stakeholders, process owners and process operators.
  • Ability to define deadlines and manage priorities is critical.
  • Ability to handle multiple tasks and changing priorities in a fast-paced environment.
  • Advanced analytical and problem-solving skills.
  • Demonstrated skills in the use of personal computer software, such as Microsoft Word, Excel, PowerPoint, and Visio
  • Familiar with ASME, ASTM, NACE, PED, ATEX, ICEX and other industry standards.
  • Familiar with NDE records, including but not limited to Dye Penetrant, X-Ray, Mag Particle, etc.
