Project Manager Job Summary : The Project Manager is responsible for overseeing multiple complex projects, providing clear and regular communication to all stakeholders, and ensuring projects are completed on schedule and within budget.
This role involves managing IT requirements, coordinating with capital projects, evaluating technology solutions, and supporting the relocation of staff and resources during capital project renovations.
Key Responsibilities : Manage multiple complex projects simultaneously, providing weekly status reports to PHMC leadership.
Ensure regular and effective communication with stakeholders to maintain a clear understanding of projects, expectations, and outcomes.
Collect, organize, and document business IT requirements across various areas, including workspaces, event spaces, museum services (retail, admission), web-based technologies, digital signage, interactive exhibits, and communications infrastructure.
Coordinate with capital project teams for the design and installation of new backbone networks, including participation in planning sessions with Commonwealth Client.
Review construction documents to ensure accuracy and alignment with business IT requirements, including data port quantities, locations, and VLAN assignments.
Collaborate with PHMC capital project personnel and OA-Client to evaluate Wi-Fi options, participate in design / installation reviews for video surveillance and security systems, and prepare schedules for procurement and installation of PHMC-procured items.
Develop visual representations of IT resource distribution and coordinate on-site services during construction phases. Assist with the creation of Statements of Work for contracted professional services and perform reviews of vendor submissions to RFPs.
Complete and document product reviews and permission-to-use procedures for equipment connected to the Commonwealth network.
Track procurement costs, maintain budget oversight, and provide life-cycle costing for equipment and systems. Plan and execute the relocation of PHMC staff, collections, and non-collection items to support phased renovations at The State Museum of Pennsylvania.
Review, update, and manage internal task lists, inventories, and project timelines to ensure proper documentation and tracking throughout the renovation process.
Identify and document accomplishments, performance, outcome data, and lessons learned for assigned project initiatives. Provide technical expertise to ensure all project components are properly designed, procured, and implemented on schedule, avoiding delays and cost overruns.
Identify project risks and develop mitigation strategies to address issues and keep projects on course. Establish and maintain project direction, resolve issues, and manage stakeholder expectations through effective communication and collaboration.
Build and maintain relationships with stakeholders and team members, clarifying their roles in achieving project objectives.
Resolve conflicts diplomatically and sensitively in a timely manner. Perform other duties as assigned. Qualifications : Proven experience in managing complex projects, particularly in IT and infrastructure.
Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to coordinate and collaborate with diverse teams and stakeholders.
Proficiency in project management software and tools. Experience with procurement, budgeting, and life-cycle costing. Ability to identify and mitigate project risks.
Strong problem-solving skills and adaptability. Preferred Skills : Experience in museum or cultural institution projects.
Familiarity with Commonwealth IT policies and infrastructure. Knowledge of construction or renovation projects is a plus.
