The Sr. Administrative Assistant is responsible for providing administrative support for the CFO, Chief Evangelist & Development Officer and the Vice President, Global Marketing for IDeaS programs, policies, and administrative needs.
What you’ll be doing...
- Maintains calendars and coordinate schedules, makes appointments / travel arrangements, and expense reporting.
- Assists with and / or coordinates company events, client visits, catering, etc.
- Creates presentations according to company standards; composes and types / enters documents.
- Assists department staff with administrative duties through the use of online applications.
- Assists with data monitoring, queries, and data integrity for multiple applications.
- Provides training on common office tools and applications to support employees and contractors.
- Assists in performing specialized administrative duties related to the department assigned.
- Assists Executive Team members as needed.
- Performs general office duties such as processing mail, ship material, duplicates and faxes documents, order supplies and equipment, arrange for equipment repair, keep kitchen stocked.
- Serves as point of contact for internal and / or external guests.
- Provides back-up support to the Front Desk and greets guests in a courteous, friendly manner; determine nature of business and follow up accordingly.
- Screens telephone calls, take messages or redirects calls, and respond to routine questions.
- Provides back-up to the Office Manager when needed.
- Keeps process documents up-to-date and maintains accurate filing systems.
- Performs other duties as assigned.
What you’ll bring to us
- 6+ years administrative experience with diverse responsibilities.
- Extensive calendar management experience for multiple executives.
- Proven ability to understand and carry out general instructions.
- Exceptional organizational skills and ability to multi-task in a fast-paced environment.
- Excellent communication and interpersonal skills (written and oral).
- Attention to and interest in detail.
- Ability to work core business hours 7 : 30am-4 : 30pm, and available as needed to align with travel schedules.
- Ability to be onsite 4 days / week.
- Proficiency in MS Office Excel, Outlook, Word, and PowerPoint.
- Expense Management system experience, concur preferred.
- Experience with Salesforce.
- MS Access, preferred.
- Travel as business requirements dictate at management discretion.
