POSITION SUMMARY
The Surgical Services and Surgical Buyer Administrative Assistant provides basic secretarial, clerical and purchasing support assisting the Clinical Buyer, Administrative Supervisor and Director for the Surgical Services Department.
Functions associated with this position involve filing of confidential documents; processing and distribution of mail; Outlook email and calendaring activities, photocopying as well as tracking and maintaining the departments on going educational documentation.
Performs department-based audits and takes minutes for selected department meetings as requested. Assists the buyer in purchasing various supplies and equipment, entering surgery items into the Workday system, verifying, and auditing requisitions, maintaining purchase orders, monitoring inventory, and providing administrative support.
The Surgical Services and Surgical Buyer Administrative Assistant maintains a high degree of confidentiality and coordinates multiple requests effectively and efficiently to support department needs.
POSITION QUALIFICATIONS
Education / Licensure / Certification :
High School graduate or equivalent required.
Knowledge :
Prefer 3 years of secretarial experience in a healthcare setting
Basic knowledge of medical terminology
Skills :
Clerical skills, including accurate filing and computer experience preferred including Windows, Microsoft Word, Excel and PowerPoint
Excellent organizational skills and flexible work style
Excellent oral communication skills in dealing with co-workers
Ability to make reasonable, independent decisions in the absence of immediate direction supervision within hospital and department guidelines
Ability to concentrate and work through distraction required
Typing of 35+CWPM strongly preferred
Attention to detail and accuracy is required
Ability to operate photocopiers, facsimile, telephone, department computer systems and other office equipment required
