Description
The Administrative Assistant (AA) is responsible for providing administrative support to staff and volunteers and ensuring efficient operation of the office.
The AA is also a key member of the Project Support (Marketing / Administrative) Team and is responsible for the execution and closure of specific assigned projects.
Duties and Responsibilities
- Answer and direct incoming phone calls.
- Maintain program / event spreadsheets and produce reports as required.
- Attend to members and / or vendors that arrive at the office.
- Schedule in-office gatherings and coordinate all administrative meeting logistics.
- Maintain office supply inventory and handle ordering as needed.
- Print materials for events and coordinate shipping as needed.
- Collaborate with volunteers and staff regarding specific assigned projects.
- Update and maintain internal address database.
- Responsible for maintaining organization and general appearance of office.
- Assist Managing Director, Associate Managing Director, and Manager of Project Support and Marketing as needed.
- Other Duties and Responsibilities as Required.
Required Knowledge, Education or Experience
- BA or minimum 2 years of experience in general office responsibilities and procedures.
- Exceptional customer service skills.
- Excellent written and verbal communication skills.
- Computer literacy in Word, Excel, Outlook.
- Familiar with Salesforce (helpful, but not required).
- Ability to handle multiple projects at once.
- Excellent organizational skills and strong attention to detail.
- Ability to work independently, as well as in a team environment.
- Service-oriented team player.
