What You Will Do :
The Case Manager will provide direct support to the clients with the management of their patent portfolio, including handling the day-to-day responsibilities for patent prosecution.
This position will sit in our Centerville, UT office and currently offers a hybrid work opportunity.
Essential Job Requirements :
- Client management for multiple large clients, including the following :
- Working knowledge of client's instructions and / or procedures;
- Primary point of contact for internal matters and primary point of contact for the client;
- Open patent matters and instruct docket staff on bar date / filing date / draft deadlines;
- Prepare and forward client reports;
- Assign new OAs / applications to attorneys;
- Track progress of responses / applications;
- Review client docket and follow-up, as needed;
- Prepare and review budgets;
- Coordinate foreign filing;
- Manage internal pipeline reports / database.
- Provide high-level assistance with preparing new patent applications for filing, including provisional, non-provisional, CON, DIV, CIP & 371 and Request for Continued Examination (RCE) applications.
- Review Notice of Allowance, prepare checklist and ensure completeness prior to payment of Issue Fee.
- Ensure client file structure is created accurately in iManage DeskSite.
- Assist with scheduling Examiner interviews.
- Review client's docket and follow-up as needed; provide updated information to the docket staff and reconcile the docket on a regular basis.
- Review and edit pre-bills and distribute pre-bills for review as needed; follow-up to ensure monthly billing is complete in accordance with the firm and client's deadlines.
- Provide high-level assistance with preparing and reporting filings to the client, as needed.
- Assist with or oversee client-related projects.
- Manage the transfer of patent matters into the firm.
- Works with Office Administrator to ensure timely transfer of patent matters out of the firm.
- Assist with training and / or mentoring new patent staff members.
- Provide back-up support to other Patent Case Managers as needed.
- Exhibits a desire to team with support staff, attorneys and administrators.
- Participates in firm training opportunities; participates in training of other employees and staff to promote cross-training of all employees and assists colleagues in learning new skills / tasks in order to integrate them into the team / firm.
- Accept change and work to incorporate change into daily work environment.
- Ability to work remotely and ensure that tasks are completed timely and efficiently; maintains regular communication with staff, attorneys and supervisor while working remotely.
Ability to follow firm policies and procedures while working remotely.
- Record tasks into LS Connect daily and accurately.
- All other duties as assigned.
Skills, Knowledge and Abilities :
- Provide good client service by maintaining a positive and professional attitude as well as positive and cooperative relationship with legal staff, peers and administrators, as well as when interacting by phone or in person with the firm's clients and external contacts.
- Bachelor's degree required, 6+ years of experience in patent prosecution and 4 years of experience managing multiple large clients / matters.
Paralegal certificate required.
- Working knowledge of the client's processes and procedures.
- Ability to work with client's database to upload and report filings in a timely manner.
- Working knowledge of the CFR, MPEP and other patent-related laws and regulations.
- Working knowledge and experience with reviewing and reconciling a patent docket.
- Working knowledge and experience with USPTO's Patent Center, and Electronic Patent Assignment System (EPAS).
- Proficiency with Microsoft Word, Outlook, Excel, docket software, database management and contact management.
- Provides high-level client service by possessing and utilizing strong telephone and interpersonal skills with legal staff, peers and administrators, as well as the firm's clients.
- Demonstrates skill in reading, analyzing, organizing and interpreting documents, including legal and regulatory documents, clinical documents, patent documents, as well as instructions furnished in written, oral, diagram or schedule format.
- Exhibits effective communication skills by demonstrating tact, diplomacy and discretion when presenting information and responding to questions from clients, attorneys, managers, etc.
- Demonstrates ability to solve problems and deal with a variety of variables in situations where only limited information is provided.
- Effectively multi-tasks and handles competing priorities.
- Works to efficiently produce work product with a high level of attention to detail; reviews and proofreads documents for grammar, spelling, readability, etc.
- Keeps abreast of practice area processes as appropriate to the position.
- Thorough knowledge of office organization, workflow and procedures.
- Thorough knowledge and use of firm's technological tools.
- Takes initiative to learn new skills that will enhance performance of role.
Office Location : Centerville, UT
Schedule : Monday through Friday, Full-time, 9 : 00 AM - 5 : 30 PM
