We are seeking a diligent and organized Administrative Coordinator to provide essential support to our team. The successful candidate will play a key role in ensuring the efficient operation of our office by coordinating meetings, handling travel arrangements, managing correspondence, and providing general administrative assistance.
Additionally, this role will support our marketing efforts, including the creation and distribution of marketing materials, social media management, and event coordination.
WHAT YOU WILL BE WORKING ON?
- Coordinate and schedule business meetings, appointments, events (marketing and team building), and marketing campaigns.
- Manage the CEO's calendar and remind the CEO of upcoming appointments and deadlines.
- Administer and assist team members with business travel activities, including travel arrangements, accommodation, and transportation.
- Greet and direct visitors to the appropriate person or department.
- Manage incoming and outgoing correspondence, including packages, mails, emails, and phone calls.
- Maintain office supplies inventory and place orders when necessary to ensure adequate stock (including business cards, printing, etc.).
- Assist in the creation and distribution of marketing materials, documents, reports, and presentations as required.
- Help manage social media accounts and content.
- Maintain the company's website and update content as needed.
- Provide general administrative support to the office, assisting in organizing and maintaining office files and records (both physical and on SharePoint).
- Assist with the preparation of meeting agendas and take meeting minutes.
- Assist with expense reporting and reimbursement processes.
- Perform additional administrative tasks and duties as assigned.
OUR IDEAL CANDIDATE IS SOMEONE WITH
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Proven experience as an office administrative or executive assistant.
- Excellent organizational and time management skills.
- Strong communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential, and knowledge of Adobe is a strong plus.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in travel coordination and expense reporting preferred.
PHYSICAL REQUIREMENTS
- This is an on-site position in Bordentown, NJ.
- Able to lift & carry 25 pounds
- Prolonged periods of standing and walking
- Has visual inspection capability
