Posting Summary

Rutgers, The State University of New Jersey is seeking a Administrative Coordinator (Confidential) for the President’s Office.

This position reports to the Special Assistant to the President and Director of Administration and works closely with the Chief of Staff and Senior Administrative Assistant (Confidential).

Among the key duties of the position are the following :

  • Supports the efficient daily operations in the Office of the President.
  • Ensures a smooth workflow and coordination within the office.
  • Schedules meetings and manages calendars.
  • Coordinates travel arrangements.
  • Processes transactions.
  • Handles inquiries.
  • Assists with projects and committees and supports event planning.
  • Maintains confidentiality and demonstrates integrity in all matters related to the office.

Seniority Unit Terms of Appointment Staff - 12 month Position Pension Eligibility ABP Qualifications Minimum Education and Experience

  • Bachelor’s degree or an equivalent combination of education and / or experience.
  • Two (2) years of relevant experience.

Certifications / Licenses Required Knowledge, Skills, and Abilities

  • Experience in administrative support roles, preferably in fast-paced office environment.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in using office software and technology, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Attention to detail and a high level of accuracy in work.
  • Ability to work independently and collaboratively, with a proactive and solutions-oriented mindset.
  • Demonstrated ability to handle confidential information with discretion and maintain confidentiality.
  • Strong interpersonal skills and the ability to interact professionally with individuals at all levels.
  • Flexibility to adapt to changing priorities and work under pressure.
