Job Summary : The Procurement Specialist is responsible for monitoring and administering activities related to the procurement of goods and services.
This role ensures the accuracy and completeness of purchase orders, invoices, and documentation while coordinating with vendors to meet delivery schedules and maintain clear purchasing terms.
The specialist also works to optimize supplier relationships, control costs, and support internal stakeholders.
Key Responsibilities :
- Oversee and manage the procurement of goods and services, ensuring all purchasing activities comply with company policies.
- Receive and reconcile purchase orders, invoices, and other procurement forms for completeness and accuracy.
- Collaborate with vendors to ensure products are delivered on time and terms and conditions are agreed upon and clear.
- Maintain and organize purchase orders, proof of purchase, pricing quotes, receipts, and other documents to provide accurate spending reports to the finance department.
- Verify bills from suppliers against bids and purchase orders, approving them for payment.
- Enter purchase orders for services, materials, and spare parts as per demand or managerial direction.
- Negotiate and procure materials, equipment, and supplies from vendors.
- Evaluate vendor quotes and services to determine the most suitable suppliers.
- Manage supplier-related activities, including forecasting, quality monitoring, and performance tracking.
- Ensure all procurement deadlines are met, including reporting and expediting deliveries.
- Coordinate planning decisions with internal customers and suppliers to reduce material variability and achieve cost-effective solutions.
- Develop requests for quotations and proposals, analyze supplier responses, and manage day-to-day supplier activities.
- Expedite deliveries and ensure job requirements are communicated effectively with engineering, planning, sales, and management.
- Demonstrate integrity and strong business ethics in all procurement activities.
- Engage suppliers strategically and utilize contract language to recover supplier-induced costs and resolve non-conformance issues in collaboration with internal departments.
- Exhibit strong conflict resolution and coaching abilities to address issues with suppliers.
- Implement change as needed and find solutions to challenges beyond one's control.
- Maintain regular attendance, arrive at work punctually, and be able to work on-site.
- Foster cooperative relationships with colleagues, vendors, customers, and management.
- Perform multiple tasks concurrently in a fast-paced environment while maintaining excellent organizational skills.
- Provide analytical, operational, and administrative support to managers and buyers involved in procurement activities, including the acquisition of goods, assets, processes, patents, copyrights, and other services.
Qualifications :
- High school diploma or General Education Degree (GED) required.
- Bachelor's degree in Business Administration preferred.
- Minimum of 10 years of procurement experience and / or training, or an equivalent combination of education and experience.
- Strong negotiation skills and the ability to evaluate vendor services.
- Proven ability to manage supplier relationships and implement cost-saving strategies.
- Ability to work efficiently in a fast-paced, dynamic environment while managing multiple tasks.
- Excellent communication and conflict resolution skills.
- Strong organizational skills and attention to detail.
- Demonstrated ability to work both independently and as part of a team.
