Our client is seeking a highly organized and proactive Administrative Assistant to join their team in Chicago. The ideal candidate will be a detail-oriented professional with strong communication skills and a passion for providing exceptional administrative support.

Key Responsibilities :
- Manage day-to-day office operations, including handling incoming calls, emails, and mail.
- Maintain office supplies inventory and place orders as needed.
- Coordinate office maintenance and repairs to ensure a well-functioning work environment.
- Provide administrative support to senior executives, including scheduling meetings, managing calendars, and arranging travel.
- Prepare and edit correspondence, reports, and presentations.
- Organize and maintain filing systems, both electronic and physical.
- Assist in planning and coordinating company events, meetings, and conferences.
- Handle logistics such as venue booking, catering, and equipment setup.
- Prepare meeting agendas, take minutes, and distribute follow-up materials.
- Serve as a point of contact for internal and external stakeholders, providing excellent customer service.
- Coordinate with various departments to ensure seamless communication and workflow.
- Assist in onboarding new employees and organizing orientation sessions.
- Support special projects and initiatives as directed by senior management.
- Conduct research and compile data to assist with project planning and decision-making.
- Ensure timely completion of projects and provide regular updates to supervisors.
Qualifications :
- Bachelor’s degree required.
- Minimum of 2 years of experience in an administrative support role preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong interpersonal skills and the ability to work both independently and as part of a team.
- Experience in the financial services industry is a plus.
