Lakeside HR Group is recruiting anAdministrative Assistant for our client headquartered south ofPrior Lake MN. Our client is a leading name in the luxury customhome industry specializing in highend bespoke Off site constructionprojects ranging in size from 800 to 7000 square feet.

As our client’s business continues to expandthey are seeking a talented Administrative Assistant to join theirteam.

The administrative assistant will wearmany hats and be an integral member of the team. This person mustbe highly organized and detailoriented to ensure the businessoperations run smoothly and efficiently.

This is a greatopportunity to assist the team with a diverse portfolio of projectsand provide administrative support. One thing you will learn aboutour client titles don’t matter everyone doeswhat it takes to get the job done works collaboratively and in theend is focused on delivering a quality product to their customers.

Responsibilities :

While thisrole must be flexible adaptable and be comfortable jumping in whereneeded the role does have some key responsibilities these includebut are not limited to the following :

Prioritize and coordinate a variety of tasksrelated to design projects maintaining an organized approach tohandle multiple responsibilities simultaneously.

Maintainaccurate precise and uptodate records of all communications tasksand design projectrelated documentation. Ensure that relevantinformation is effectively shared with team members and externalpartners as needed.

Work autonomously on tasks and projects withlimited supervision and minimal guidance.

Adjust priorities andtasks based on the daily needs of the leader and the designprojects at hand. Exhibit flexibility in taking on new andunexpected tasks with a positive attitude.

Act as a liaison betweenthe leader design team and external partners including clients andvendors ensuring effective verbal and written communication andcoordination to facilitate smooth operations and project progress.

Convey information clearly timely and professionally inall written and verbal communications.

Answer and direct phonecalls or take messages for appropriate parties.

Draftproofread and edit correspondence including emails to clients andvendors with precision ensuring clarity and professionalism in allcommunication materials.

Manage the receipt of all incomingproducts and packages related to design projects. This involvescoordinating with delivery services and ensuring timely andaccurate receipt of items.

Record details of received itemsincluding quantities descriptions and any observed issues. Maintainan organized log of incoming and outgoing inventory to track thestatus and location of products.

Review and verify all receivedproducts packages and documents for accuracy completeness conditionand adherence to standards.

Conduct thorough inspections for anydamage to products or packages. Provide detailed information anddocumentation to support claims for replacement or repair.

Coordinate with vendors or suppliers to arrange for returnreplacement or repair of damaged items while ensuring timelyresolution of issues to minimize disruption to design projects.

Maintain a wellorganized workspace for the leader ensuringthat all necessary supplies documents and tools are readilyavailable.

Contribute to the continuous improvement of officeprocesses and project management practices. Provide feedback andsuggestions for enhancing efficiency and effectiveness.

Requirements :

High School Diploma GEDor equivalent.

35 years of experience providing administrativesupport.

Advanced proficiency in Microsoft Office Suite includingOutlook Teams and Excel with a focus on optimizing productivity andefficiency.

Strong problemsolving skills and the ability toleverage technology to support project management andadministrative tasks.

Ability to make independent decisions dailyaddressing the best way to handle specific tasks.

Excellentcommunication and organizational skills with a proven track recordof managing and prioritizing multiple tasks and projects in afastpaced environment.

Exceptional focus on details andutilizing a proactive approach.

Ability to travel to Eagan andFarmington MN warehouses as needed to support business needs.
