We are looking for a dynamic and proactive Front Office Coordinator to be the face of our organization and ensure smooth operations at the front desk.
Job Responsibilities :
- Greet and assist visitors, clients, and employees in a polite and professional manner.
- Manage incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
- Maintain a welcoming and organized reception area, ensuring that it represents our brand effectively.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Handle administrative tasks such as filing, data entry, and managing office supplies.
- Maintain security by following procedures and controlling access to the office.
- Collaborate with other departments to support overall business objectives and enhance operational efficiency.
- Assist in processing mail and packages, ensuring timely distribution.
- Provide support for special projects and events as needed.
Qualifications :
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience in an administrative or front office role.
- Excellent interpersonal and communication skills, with a strong customer service orientation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Attention to detail and a commitment to quality work.
- Ability to maintain confidentiality and professionalism in all interactions.
- Experience with scheduling software or customer relationship management (CRM) systems is a plus.
