Position : Administrative Assistant

Location : Long Beach, CA

Reports to : Shipyard Personnel Administrator

Schedule : Full-time / In office

THIS ROLE :

Curtin Maritime is seeking an efficient and organized Administrative Assistant to join our team. In this role, you'll report to the Shipyard Personnel Administrator.

This position requires a proactive individual who can adapt to changing priorities and manage multiple tasks efficiently.

This role will have critical tasks needed to support employee’s onboarding, offboarding and career development.

WHAT YOU’LL DO :

  • Support with recruiting by sending emails for interviews, following up on communication from candidates.
  • Support with onboarding / offboarding within the Curtin Maritime Accelerator Program.
  • Assist with payroll timecard audits.
  • Maintain Training Matrix spreadsheet to ensure trainees are progressing through the Learning Management System and follow up with employees up to completion.
  • Assist with MMC Applications for laborers.
  • Convert employees uploaded photos into acceptable format for TWIC, DL / ID, MMC Documents, etc. and update employee personnel file where needed.
  • Maintain training binders with updates and inventory.
  • Update travel / leave calendar; performance review tracker.
  • Update vehicles log for WEX (Gas Card).
  • Assist in the tool room as needed.
  • Minimal local errands in company vehicle.

WHO YOU ARE :

Experience / Qualifications

  • One to two (1-2) years of experience in a clerical, program / social service, or customer service environment.
  • Intermediate to advanced knowledge of Mac and / or PC platforms, Microsoft Word, PowerPoint, and Excel.
  • Minimum : High School;

Mental Aptitude

  • Excellent oral and written communication skills.
  • Strong computer skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work both independently and as an effective team player.
  • Proactive mindset and initiative-taking ability.
  • Strong multitasking and prioritization skills for a wide range of support responsibilities.

Physical Aptitudes

  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • Ability to use stairs on a regular basis.
  • Ability to acquire and maintain a TWIC and valid Driver’s License if required to drive for work.
