    Description

    The Client Experience Coordinator plays an important role in setting the tone for the organization. As the first and last person clients see when they are in the office, the Client Experience Coordinator is instrumental in making sure clients have a positive experience.

    Responsibilities & Activities

    • Greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
    • Provides general administrative support including data entry, mailing, scanning, and electronic filing.
    • Handles incoming phone calls.
    • Schedules client and prospective client meetings.
    • Prepares for meetings, including confirming appointments, preparing agendas, entering client names in greeting software, and setting up conference rooms.
    • Serves as Executive Assistant to firm partners, as needed.
    • Sorts and distributes the mail.
    • Mails periodic client correspondence, such as letters, event invitations, etc.
    • Assists in preparing for and participates in client events, some of which are after business hours.
    • Develops and maintains electronic documentation of all activities in Client Relationship Management system (Redtail CRM).
    • Manages office and marketing supplies, including inventory and ordering.
    • Runs company errands, as needed.
    • Performs other duties as assigned.

    • Excellent interpersonal skills.
    • Excellent attitude and an extraordinary client service orientation.
    • Superior phone skills friendly and helpful in all interactions on the phone.
    • A genuine interest in serving and caring for other people.
    • Excellent organizational and time management skills and ability to multi-task.
    • Professional demeanor.
    • Proficiency with Microsoft Office Suite.
    • Experience with Client Relationship Management system preferred.
    • Attendance is an essential function.
    • Salary is commensurate with experience.
