Purpose Statement
The Special Education Student Records Department collects, records, and maintains the special education records for all preschool, elementary and secondary special education within the district.
The information is accurately reported to the Arizona Department of Education, which directly impacts the funding received from State and Federal Agencies.
Essential Functions
- Accurately enter special education enrollment and withdrawal activity in our Student Information System (SIS) database for the purpose of ensuring compliance with legal, state and / or federal requirements.
- Prepare and maintain student special education file folders; house the records in a well-organized manner for the purpose of meeting district, state, and / or federal requirements.
- Ensures accuracy of records for the purpose of complying with State laws governing special education program.
- Maintains various records, supplies, calendar, schedules, files, etc. for the purpose of documenting and / or providing reliable information.
- Communicate with staff, parents, students, etc. (via email, fax, in-person, by mail and / or telephone) for the purpose of providing reliable information on a variety of special education issues and meeting district, state, and federal notification requirements.
- Ability to process documents and materials for the purpose of providing reliable information to the appropriate parties.
- Prepare written materials (e.g. reports, memos, etc.) for the purpose of conveying information regarding special education program activities and procedures.
- Process requests for records from parents, students, other school districts and state agencies in a timely manner and in full compliance of confidentiality requirements.
- Responds to inquiries of staff, the public, parents and / or students for the purpose of providing information and / or direction as may be required.
- Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
Other Functions
Assist other personnel as may be required for the purpose of supporting them in the completion of their work activities.
Job Requirements : Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS required to satisfactorily perform the functions of the job include : preparing and maintaining accurate student records, using pertinent software applications and operating standard office equipment.
- KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and / or ratios; read a variety of manuals, write documents following prescribed formats, and / or present information to others;
- and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes : concepts of grammar and punctuation;
a thorough understanding of special education eligibilities; levels of service; SAIS submittal procedures; and Individual Education Plans.
Must also understand the difference between an IEP, Service Plan, Private Day School placement, homebound status and 504 Plan students and how these differently classified.
ABILITY is required to schedule activities and / or meeting s; gather, collate, and / or classify data; and use job-related equipment.
- Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing defined but different processes;
- and operate equipment using defined methods. Ability is al so required to work with a diversity of individual s and / or groups;
work with data of varied types and / or purposes; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans.
Problem solving with data re quires independent interpretation of guidelines and problem solving with equipment is limited.
Specific abilities required to satisfactorily perform the functions of the job include : adapting to changing work priorities;
communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; and working with detailed information / data.
Responsibility
Responsibilities include : working under direct supervision using standardized procedures while providing information and / or advising others.
Utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to impact the Organization’s services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands : occasional lifting, carrying, pushing, and / or pulling;
some climbing and balancing; frequent stooping, kneeling, crouching, and / or crawling; and significant fine finger dexterity.
Generally the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under a generally hazard free environment.
