Mesa Associates, Inc., a premier engineering and design company, is looking for a long-term Receptionist to join our team in our corporate office in Madison, AL!

We are looking for a person who will be happy in the role of receptionist long term.

If you are punctual, enjoy delivering excellent customer service, and helping out wherever it's needed, then this may be the opportunity for you!

Must be able to work daily Monday through Friday from 8 : 00 a.m. 4 : 30 p.m. with a 30 minute lunch.

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains security by following procedures; monitoring logbook
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Monitors weather alerts in the event of emergencies.
  • Maintains logbook for vehicles at the Madison location and creates expense reports at month’s end.
  • Receives all deliveries at front door, UPS, Fed Ex, USPS and other vendors as deliveries are made. Some requiring a signature.
  • Manage the AP email account by checking daily, sorting invoices, scanning, and filing.
  • Travels to local post office and receptacle in front of facility to receive, sort and distribute mail daily.
  • Assist other departments on office setup for special events.
  • Must be organized and customer focused and able to meet deadlines.
  • Must be a dependable, energetic, personable, flexible, multitasker with a positive attitude.
  • Excellent attendance and punctuality is required.
  • Must have strong communication and language skills with the ability to communicate with diverse clients / customers.
  • Must have a clear, pleasant telephone voice.
  • Professional appearance required.
  • Computer skills and typing necessary. (Word, Excel, Outlook and trainable on other programs.)
  • Possess good listening skills
  • Possess good interpersonal skills to work effectively with peers and customers.
  • Possess willingness to develop, promote and comply with Mesa safety requirements.
  • Support corporate objectives by accomplishing duties as assigned.
