THE OPPORTUNITY :
As a highly organized coordinator of people and process, the Executive Assistant serves as a key support to the senior leadership of UNC Executive Development.
Reporting to the Director of Operations, this position will play a primary role in supporting and facilitating the general management of the group, including coordinating time and communication, both internal and external, toward the advancement of the organization’s strategic priorities.
The Executive Assistant will serve as a key intermediary among stakeholders within and outside the organization, ensuring the right people and resources are involved for optimal decision-making, problem-solving, and execution.
This role will be responsible for managing calendars and organizing the flow of information and activities involving the group’s senior leaders to ensure thoughtful prioritization of key issues and business needs.
In addition, this role will have general office manager responsibilities. In this capacity, the Executive Assistant will ensure UNC Executive Development’s office space, shared business equipment and facilities, communication channels and files are organized to support the efficient, effective, and high-quality work of the organization.
PRIMARY RESPONSIBILITIES :
- Provide proactive, thoughtful assistance and support to senior-level executives, including complex calendar management, travel arrangements, and expense reconciliation
- Manage multiple administrative activities and duties simultaneously with high attention to detail
- Communicate effectively and promptly with internal and external stakeholders, including responding to emails, drafting and routing communications, responding to general inquiries, and ensuring elite communication flow within departments and external relationships
- Organize meetings, travel, and schedules for senior leadership with organization-wide leadership responsibilities
- Handle complex and confidential materials, applying judgment, initiative, and responsiveness in a thoughtful way
- Prepare and review high-level documents, including PowerPoint presentations and Word files, for internal and external-facing use
- Provide general office-management support, including, organizing company events, coordinating and maintaining documentation of key administrative processes, managing office supply inventory, vendor coordination, mail, and shared workspaces
- Nurture and grow key relationships with clients, vendors, faculty, prospects, and staff in direct support of senior leadership and UNC Executive Development
- Process invoices, account reconciliation, and monitor budgets for certain projects and cost codes
- Provide event preparation and coordination support as needed, gathering necessary materials, taking notes, communicating follow-up steps, etc.
QUALIFICATIONS AND EXPERIENCE :
The candidate must be able to work both independently with minimal supervision and as part of a team. The successful candidate will have the ability to build strong working relationships across the organization, within Kenan-Flagler Business School, and with key stakeholders beyond the organization to ensure coordination of efforts and continuous progress to goals.
The candidate should possess outstanding written and verbal communication skills and extensive experience with commonly used Microsoft Office programs.
Experience with Asana, Concur, and Salesforce a plus.
A minimum of 3 years of experience in an Executive or Administrative Assistant role, or in a project management role, or equivalent experience required.
Due to the nature and responsibilities of the position, this is primarily an on-site, in-person role. The hiring range for this position is $50,000 $65,000 annually based on experience level.
