Reporting to the Vice President of Community Engagement, the Executive Assistant will be responsible for high-level administrative support and office management.
Essential job responsibilities include, but are not limited to, the following :
Manage complex calendar, exercising discretion regarding workflow and priorities in maintaining schedule of appointments and informed decision-making regarding availability and commitments.
Collaborate with Internet2 Executive Assistants.
Prepare executive correspondence, reports and various communications with constituencies at all levels of internal and external organizations.
Provide research support and prepare background information for meetings and interaction with external parties as well as special projects.
Perform office management duties related to the smooth functioning of Internet2’s Denver, CO office by serving as the primary facilities contact for troubleshooting and issue resolution with property / facilities management, office equipment maintenance, supply inventory, and Technical Support Group.
Plan and conduct meetings, both face-to-face and using video conferencing technology.
Arrange complex domestic and international travel arrangements.
Manage and track critical and confidential matters.
Recommend and design process improvements related to the Membership and Marketing & Communications teams.
Qualifications :
A Bachelor’s Degree and / or advanced professional administrative experience.
Minimum 5 years of administrative experience supporting the executive level team.
3 years complex international and multi time zone calendar management.
Highly organized, collaborative and self-directed with ability to multi-task and respond to unexpected and competing demands.
Proven experience in problem-solving, time management and prioritization skills.
Strong organizational and project management skills with the ability to manage multiple work streams simultaneously.
Demonstrated track record in working within a complex and dynamic organization.
Advanced computer skills in MS Office Suite, databases, calendaring and email software.
Ability to communicate to a broad and diverse community with diplomacy and a customer service orientation.
Manage and track critical and confidential matters.
Ability and willingness to travel domestically.
Preferred Skills :
Experience with Salesforce CRM.
Advanced Excel skills (pivot tables, macros)
Understanding of the higher education community, not for profit, member-driven or federal agency environment.
Bilingual (Spanish) a plus.

The salary range for this position is $70,000 - $85,000, Grade B-5.
