Responsibilities of the Front Desk Coordinator :
- Warmly greet patients upon arrival, checking them in and ensuring their records are up-to-date.
- Scan insurance cards, picture IDs, and other relevant documentation into the EMR system.
- Schedule and reschedule appointments, maintaining an organized calendar.
- Handle sensitive and confidential medical information with utmost discretion.
- Process payments, pre-payments, and collection of past-due balances.
- Audit superbills daily and provide payment documentation to the billing department.
- Manage incoming phone calls and inquiries with professionalism and efficiency.
- Facilitate the smooth flow of patients through the clinic, ensuring timely care.
- Verify that necessary tests are ordered and information is recorded in the EMR prior to provider appointments.
- Make confirmation calls to patients at least 24 hours prior to their scheduled appointments.
- Respond to schedule requests from doctors and nurses within a 24-hour timeframe.
- Possess a good understanding of insurance contracts to accurately collect payments and address basic insurance queries.
- Provide information on discount programs to eligible patients.
- Assist with mailing out patient information and educational materials when needed.
- Scan documents into the EMR system as requested.
- Ensure waiting areas are prepared and ready each day before patient arrivals.
- Open the building at the designated time and ensure computers are ready at the front desk.
- Secure the building and lock all entrances at the end of each workday.
- Attend staff meetings and training sessions, actively engaging in information sharing and educational opportunities.
Requirements for the Front Desk Coordinator :
- High school diploma or equivalent is required.
- Bachelor's degree or Associate's degree is preferred but not mandatory.
- Minimum of 1 year of customer service experience is required.
- Previous experience as a medical receptionist is a plus, but not essential.
- Must be vaccinated or have a valid exemption.
- Proficient in using computers and basic office equipment.
- Excellent attention to detail and ability to follow procedures.
- Strong organizational and multitasking skills with efficient time management abilities.
- Exceptional customer service skills with a friendly and professional demeanor.
- Maintain strict confidentiality of patient and clinic information.
