Job Summary : Provides support to the CEO in planning, coordinating, organizing and communication intervention roles to ensure daily effectiveness in the form of word processing, filing, telecommunications, storage and retrieval of information.
Prepares for meeting relating to MWMC Board, staff and community. Working knowledge of the organization and the various policies and procedures of these organizations.
Answer multi-line phone, triage calls and follow-up as necessary. Prepare agendas and various reports for committees and Board meetings.
Take and transcribe minutes at a variety of meetings, including Board of Directors. Prepare letters, memorandums, policies and procedures.
Arrange meetings and schedule appointments. Maintain calendars for executive staff. Schedule and organize retreats for Board and management.
Make travel arrangements as necessary. Greet public, take complaints and provide customer service. Maintain complete and accurate records.
Open, sort and prioritize mail.
Educational / Licensing : High School diploma. Additional certification preferred. Business college / prior administrative assistant training required.
Qualifications : At least 5-10 years experience in general office setting with executive office experience preferred. Type 65 words per minute.
Extensive working knowledge of word processing program, preferably MS Word. Basic working knowledge of Excel and Power Point.
Proficient in taking minutes. Dependable, team player. Ability to function independently. Ability to work in fast-paced environment without direct supervision.
Ability to maintain positive rapport, exhibit courtesy, tact and diplomacy in dealing with people. Ability to maintain strict confidentiality.
Highly organized; detail oriented. Ability to prioritize and handle multiple tasks. Coordination of multiple schedules, events.
