We are a leading real estate organization in the process of integrating experienced agents into our systems. As part of our team, you will play a vital role in providing administrative support during this transition period.
Job Description : We are seeking a tech-savvy Administrative Assistant to join our team and support the integration of agents into our systems.
In this role, you will be responsible for assisting agents with onboarding processes, providing support with marketing materials, and handling general administrative tasks.
Key Responsibilities :
- Assist agents with onboarding processes, including setting up accounts in our systems and providing guidance on system usage.
- Serve as the primary point of contact for agents, addressing general questions about marketing materials, procedures, and office protocols.
- Greet clients and visitors, providing a welcoming and professional environment.
- Answer phones and direct calls to the appropriate party, taking messages when necessary.
- Provide general administrative support to the office administrator during the transition period, including data entry, filing, and other clerical tasks.
- Monitor the number of agents joining our organization over the next three months and provide additional support as needed.
- Collaborate with team members to ensure seamless integration and support for agents throughout the transition process.
Qualifications :
- High school diploma or equivalent required; additional education or certification in office administration or related field preferred.
- Previous experience in an administrative role, preferably in a real estate or similar industry.
- Strong technical skills, with proficiency in Microsoft Office Suite and experience with real estate software.
- Excellent communication and interpersonal skills, with the ability to effectively interact with agents, clients, and colleagues.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Ability to work independently with minimal supervision and adapt to changing priorities in a fast-paced environment.
Indications of Commute : This position will require commuting between two office locations as needed. Our main office is located in Ventura, CA, while the secondary office is in Ojai, CA 93023.
The candidate may need to travel to the Ojai office once or twice a week to provide support to agents during the integration process.
