The Investor Relations Team in the Executive Office is seeking a highly motivated executive assistant to support the Global Head of Investor Relations.
The role requires exceptional prioritization and communication skills, as well as the ability to adapt to a range of working styles and responsibilities.
Previous experience in supporting senior executives and the ability to work in a busy, fast-paced environment is preferred.

TEAM OVERVIEW
Investor Relations works closely with C-suite executives to shape the firm's external engagement strategy (including with equity and debt investors, research analysts, rating agencies, and ESG-focused stakeholders).
Investor Relations also partners with key internal constituents on strategic planning, competitive positioning, and capital and resource management.
This role involves supporting and managing the schedules and communications of the Global Head of Investor Relations and the administrative functions of the Investor Relations team.
The role requires exceptional prioritization and communication skills, as well as the ability to adapt to a wide range of working styles and responsibilities.
Previous experience in supporting senior executives and the ability to work well under pressure in a busy, fast-paced environment is preferred.
RESPONSIBILITIES
- Provide administrative support at senior level in a complex business environment.
- Maintain extremely detailed calendars and related logistics and coordinate senior-level meetings with both internal and external stakeholders
- Handle phone calls and interact with senior business leaders in a professional and effective manner
- Prioritize requests requiring interaction with both internal and external stakeholders to coordinate a variety of meetings.
- Act as a gatekeeper to ensure executive's schedule is followed and respected; liaison to maximize executive's focus on priorities
- Utilizes strong judgment in managing priorities of requests and escalating as necessary for resolution and / or prioritization
- Work closely and effectively with executive(s) to keep them informed of upcoming commitments and responsibilities both professionally and personally
- Respond and follow up on investor requests in a timely and professional manner
- Coordinate domestic and international travel arrangements including flights, hotels, and car transportation
- Process expense reports in compliance with firm travel policies
- General administrative support including preparing meeting materials, maintaining and editing documents, spreadsheets and presentations
QUALIFICATIONS
- 5+ years of experience supporting senior level executives
- Excellent written and verbal communication skills
- Excellent analytical, time management, interpersonal and organizational skills
- Solutions oriented; resourceful, well organized, highly dependable, efficient and detail oriented
- Skilled at coordinating complex meetings with the flexibility to adapt to rapidly changing schedules
- Ability to handle highly sensitive and confidential business and personal information
- Must be able to work under deadlines and adapt to a fast-paced environment
- Must have excellent judgment, independent thinker and resourceful with strong decision-making ability
- Strong proficiency in MS Word, Excel, PowerPoint. Highly proficient in Outlook calendar management
- Highest degree of integrity, professionalism, diplomacy and discretion required
- Prior experience with client business or financial services is preferred
Salary Range
The expected base salary for this New York, New York, United States-based position is $70000-$110000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
