Position Description :

The Collaborative Work Group Program Coordinator III will play an essential role in the implementation of the Collaborative Work Groups to Reduce Cancer Disparities in Wisconsin funded project in the Department of Medicine .

This project facilitates diverse and varied teams from community and research disciplines through a collaborative process to cultivate a deeper understanding of a specific topic related to breast or lung cancer, leading to the development of an integrated action plan to reduce disparities.

The Program Coordinator will work with the Community and Cancer Science Network (CCSN) Program Director, project's Co-Principal Investigators and community partner organizations to advance the aims of the state-wide grant, build and maintain relationships with current and future partners, communicate key information about the project, and manage key grant and project administration.

Primary Functions

Relationship Management

  • Create, maintain and sustain relationships with Collaborative Work Group facilitators and evaluators.
  • Provide primary contact for concerns and issues which arise in the Collaborative Work Groups, Community Champion Partners, and facilitators and evaluators and triage to project co-PIs, Program Director, or others.
  • Serve as a resource for Community Champion Partners, Collaborative Work Groups, facilitators and evaluators.

Communications / Dissemination

  • Facilitate dissemination about Collaborative Work Group progress through abstract submission, internal communication mechanisms including MCW Cancer Center newsletter and CCSN Newsletter.
  • Ensure the Collaborative Work Group portion of the CCSN website is up to date.

Administration & Logistics

  • Maintain program timeline including tracking deadlines for program deliverables. Ensure reporting and other requirements of funder are completed in a timely fashion.
  • Manage program budget and ensure timely processing of community partner invoices.
  • Ensure compliance with regulatory and institutional policies.
  • Manage logistics for all leadership and all-member collaborative work group meetings, as well as other large group meetings.
  • Develop, implement, and maintain comprehensive databases and files related to the program.
  • Manage data collection and reporting for key elements of the grant including progress reports to the funder. Work closely with Program Manager overseeing IRB compliance to ensure data is appropriately collected and stored.
  • Assist the CCSN evaluator in collecting any needed data from the Collaborative Work Groups.
  • Assist with literature reviews as needed by Co-PIs and Collaborative Work Groups
  • In-state travel is required.

Knowledge - Skills - Abilities

  • Strong interpersonal skills, including the ability to establish and maintain positive professional relationships across diverse populations.
  • Exceptional writing and editing skills, including the ability to produce clear, accurate content required.
  • Ability to manage multiple activities and deadlines required.
  • Prior project or complex program management
  • Work experience should demonstrate dependability, flexibility, and maturity.
  • Proficiency working in the Microsoft Suite and online meeting platforms.
  • Previous work in administration within a higher education institution or community-based organization.
  • Familiarity with human centered design and / or strong facilitation skills.
  • Previous experience monitoring program expenses and managing budget related activities.
  • Ability to learn quickly and solve problems creatively.
  • Previous experience in navigating social and health related systems, making connections and securing support.
  • Prior experience working with diverse communities.

Appropriate experience may be substituted on equivalent basis

Minimum Required Education : Bachelor's degree

Minimum Required Experience : 5 years

Preferred Experience : Coordination of health or community programming
