Job Summary
The Technology Support Analyst (Software Asset Manager) provides advanced software support and software purchasing services for the Office of Information Technology (OIT) at Glendale Community College.
OIT supports all academic and administrative technology across both GCC campuses. This position works in a fast-paced, multi-tasking environment while supporting multiple projects and deadlines, providing software purchasing support for the entire college, effectively communicating with all levels of the organization.
Essential Functions
50% - Coordinates and provides software requisition services for two campuses. Provides advanced IT support to identify and resolve software and application issues and acts as a liaison between customers, other technical units, and vendors.
Modifies and updates processes, procedures, and standards. Delivers escalated IT support services to include software support and requisitioning.
Identifies, investigates, and resolves user questions and concerns surrounding the purchase of software. Responds and resolves escalated help desk tickets involving software acquisition.
Assists customers by performing advanced analysis of various issues related to software licensing. Creates, monitors, and completes IT support logs and service desk tickets relating to the purchase of software.
Acts as liaison with the customers, the district office, and the campus fiscal office. Coordinate the distribution and installation of software by supporting Systems Admins, providing installation files and support documentation.
Assists in the planning and implementation of computer information systems and software. Ensures licensing and copyright laws are followed.
Researches and recommends new products and forms. Coordination and transactional support operations, including Contract Lifecycle Management with District Legal
30% - Self-directed prioritizing and workload scheduling to achieve target outcomes and timelines. Purchase reconciliations on enterprise systems and with vendor contacts.
Works with sensitive and confidential information. Creates financial / analytical reports, spreadsheets, and documents for budget management, operational projections, and monitoring of campus-wide IT projects / purchasing initiatives.
Maintain an IT purchasing database for licensing, SLA, and reporting purposes. Create and maintain process flow charts. Create and maintain purchase requests tool and associated records.
Knowledge of and adherence to policies (MCCCD Purchasing, AZ State records retention) and Fiscal processes utilizing available resources.
Coordinate and perform administrative functions for direct supervisor in support of team activities and functions
10% - Lead lower-level staff by providing ordering documentation and equipment checklists for processing enterprise-level equipment deliveries.
Oversee the processing of delivery information and packing lists against Purchase Orders (POs) to ensure accuracy of delivered items
10% - Other duties as assigned by supervisor or Associate VP of IT
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution in information technology or directly related field, and two years providing technology support work involving computer hardware, software and applications.
An equivalent combination of the conferred degree, education, certification and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
A. Three (3) or more years of demonstrated procurement / purchasing experience preferably in education
B. Three (3) or more years of experience using enterprise financial management systems (, FMS)
C. Three (3) or more years of experience applying applicable policies, procedures, and / or regulations and standards in a public institution
D. Three (3) or more years of demonstrated experience preparing and coordinating budgetary or statistical reports and / or presentations
E. Three (3) or more years of experience purchasing IT assets (, hardware, software, etc.)
Special Working Conditions
- Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving :
- Travel to campus during interview / selection process will be at candidate’s own expense
- Will be required to travel or be assigned to all MCCCD locations
- May require numerous evenings or weekends
- May require prolonged periods of viewing a computer screen
- May be required to lift or carry up to 25 lbs.
