The Executive Assistant to CEO / CMD provides direct assistance to the Country Management Director (CMD) and Chief Executive Officer (CEO).
This role works independently without specific instructions or prescribed procedures on special assignments related to corporate affairs and matters of significance.
The incumbent manages access to the executive, maintains and modifies CEO's schedule as well as ensures the executive is made aware of issues that need immediate attention.
The Executive Assistant to CEO / CMD handles confidential business matters and maintains smooth operation of office when CEO is unavailable.
Typically, this role is responsible for the release of a variety of complex communications that affect the entire organization and designs and maintains procedures that allow appropriate access to confidential information.
Duties & Responsibilities
- Manages access to the executive, maintains and modifies CEO's schedule independently.
- Ensures the executive is made aware of issues that need immediate attention.
- Handles confidential business matters and maintains smooth operation of office when CEO is unavailable.
- Performs all Company business in accordance with all regulations and Company policy and procedures.
- Demonstrates high ethical and professional standards with all business contacts and BI employees to maintain the Company's excellent reputation within the medical and pharmaceutical community.
- Demonstrates comprehensive knowledge of Boehringer's mission, business processes, policies, and practices, and applies knowledge within own technical area to develop relatively advanced work results.
- Organizes and prepares for meetings, including gathering documents and attending to logistics.
- Plays a consultative role in ensuring meetings conducted are well run, adhering to budget and time constraints.
- Responsible for ensuring meetings follow good governance practices, with appropriate agendas, minutes, and action items.
Requirements
- Bachelor degree preferred, minimum of ten (10) years executive administrative, customer service and / or relevant business experience.
- Demonstrated excellent written, editing, and proofreading skills as well as verbal communication skills.
- Excellent working knowledge of Microsoft Office (Word, Excel, and PowerPoint) and data entry experience.
- Demonstrated high degree of accuracy, problem-solving and problem resolution as well as attention to detail.
- Ability to meet deadlines.
- Demonstrated ability to work independently, using sound judgment with the ability to prioritize and make decisions.
- Energetic and eager to tackle new projects and ideas.
- Excellent organization and time-management skills.
Eligibility Requirements :
- Must be legally authorized to work in the United States without restriction.
- Must be willing to take a drug test and post-offer physical (if required).
- Must be 18 years of age or older.
